Job Requirements

  • High school diploma or equivalent
  • Previous experience in a customer service or receptionist role preferred
  • Excellent verbal and written communication skills
  • Proficient in office software including Google Suite
  • Strong organizational and multitasking abilities
  • Ability to maintain professionalism and confidentiality
  • Ability to problem solve and handle unexpected situations
  • Effective interpersonal skills and ability to collaborate with diverse groups

Job Duties

  • Greet prospective families and send them on tours with student tour guides
  • Greet other visitors and guide them to appropriate locations or staff members
  • Welcome families back from tours and connect them with their Admissions Officer or scheduled faculty member
  • Answer main school phone, address general questions, and forward calls
  • Make appointments for tours and interviews
  • Process daily inquiries into Finalsite
  • Mail viewbooks and marketing materials
  • Send email reminders for appointments
  • Print admissions and coaches/teachers calendars
  • Prepare and print tour guide schedules
  • Build and maintain rapport with student tour guides
  • Enter completed interviews into Finalsite
  • Email list of visitors to the school community in advance
  • Problem solve for unexpected situations
  • Serve as a thought partner to improve visitor experience
  • Maintain Reading Room including stocking and cleaning
  • Prepare daily welcome signs
  • Assist Admissions Assistants with application processing
  • Prepare goody bags for visiting educational consultants
  • Pack and organize fair bags for school fairs
  • Monitor visitor meetings with Head of School
  • Sort mail in the school's mailroom
  • Place Amazon, coffee, and office orders as needed
  • Create name tags for events
  • Track and reorder marketing materials
  • Record hours and pay for summer tours
  • Collect new student photos and share with Dean of Students
  • Add application pieces and create student folders
  • Enter educational consultant information into Finalsite
  • Assist Admissions team as needed
