Job Requirements

  • High school diploma or GED
  • Five years of recent administrative support experience
  • Possession of a valid driver's license or ability to obtain by date of hire
  • Regular and reliable attendance
  • Ability to work overtime and adjust working hours as needed
  • Must be able to travel for occasional professional development
  • Ability to lift up to 25 pounds
  • Ability to handle sensitive interpersonal situations with professionalism
  • Ability to maintain confidentiality
  • Ability to use judgment and discretion
  • Strong communication skills
  • Proficiency with office technology
  • Ability to work on-site in Bakersfield

Job Qualifications

  • High school diploma or GED
  • Five years of recent administrative support experience
  • Valid driver’s license or ability to obtain by hire date
  • Excellent communication skills
  • Proficiency with computer applications including word processing, spreadsheets, and databases
  • Ability to analyze data and generate reports
  • Strong organizational and time management skills
  • Demonstrated customer service experience
  • Ability to handle multiple priorities independently
  • Knowledge of office systems and technology
  • Ability to maintain confidentiality
  • Experience in facilities management or construction preferred
  • Working knowledge of CMMS and university accounting preferred
  • Familiarity with CSU system processes preferred
  • Experience maintaining website content

Job Duties

  • Manage daily administration of CMMS work control system, ServiceNow
  • Coordinate work order submissions, reviews, assignments, and closures
  • Enter invoice and purchase order data and manage chargebacks
  • Input and maintain project and asset records within ServiceNow
  • Support preventative maintenance program scheduling and asset activation
  • Prepare performance reports and coordinate system support and training
  • Provide direct customer service and administrative support
  • Coordinate schedules for events and classrooms impacting facilities
  • Train staff and student assistants in administrative and operational procedures
  • Evaluate and improve administrative processes
  • Maintain and update Facilities and CPDC website content
