Job Requirements

  • Previous experience with phone collections and AR/AP
  • High school diploma or equivalent
  • Minimum 2 years office experience or substitute with college education
  • Proficiency in Microsoft Office Suite
  • Strong command of written and spoken English
  • Ability to interact with diverse groups
  • Attention to detail and ability to meet deadlines
  • Strong work ethic and proactive attitude
  • Ability to work independently and in team settings
  • Ability to operate fax machines, copiers, scanners, and binding equipment
  • Must handle varied daily challenges and prioritize demands
  • U.S. work authorization required
  • Driver’s license preferred

Job Qualifications

  • High school diploma or equivalent
  • Associates or bachelor’s degree preferred in business, marketing, or related field
  • Minimum of 2 years office experience or equivalent college education
  • Proficiency in Microsoft Office Suite including Word, Excel, and PowerPoint
  • Strong written and verbal communication skills
  • Ability to interact effectively with diverse social, cultural, economic, and educational backgrounds
  • Attention to detail and ability to prioritize tasks
  • Strong work ethic and professionalism

  • Ability to use office equipment such as fax machines, copiers, scanners, and binding machines

Job Duties

  • Provide administrative, clerical, and receptionist support to various departments
  • Assist with production, Proof of Performance (POP), billing, social media, and AP/AR responsibilities
  • Handle phone collections and accounts receivable/accounts payable functions
  • Complete online and manual POP reports, including downloading and emailing photos
  • Draft and enter contracts into the billing system
  • Review and monitor Aged Trial Balance reports, initiate cash corrections, process write-offs, and communicate with clients
  • Assist Office or Business Manager with collections and HR-related tasks
  • Maintain petty cash, reconcile bank statements, and verify reports
  • Conduct commercial credit checks on potential clients
  • Serve as backup for static, digital, or satellite office charting duties
  • Manage social media activities for the office
  • Provide administrative assistant support including proofreading, typing, operating office equipment, and coordinating mail and deliveries
  • Operate telephones and greet visitors with a customer service focus
  • Process outgoing mail and maintain office filing and organization
  • Support AP and AR clerical duties
  • Print contracts and promotional materials as needed
