Job Requirements

  • High school diploma or equivalent
  • Minimum of five years experience in general office or customer service setting
  • Experience planning and coordinating meetings and events
  • Proficient use of word processing, spreadsheet, and database software
  • Ability to work flexible hours including evenings and weekends
  • Ability to pass Department of Justice and FBI background checks
  • Must complete TB testing upon employment
  • May require valid California driver license and proof of insurance
  • Ability to lift 20 pounds occasionally
  • Strong oral and written communication skills
  • Ability to maintain confidential information
  • Ability to operate office equipment and technology

Job Qualifications

  • High school diploma or equivalent
  • Minimum five years of broad and varied experience in office administration or customer service
  • Experience in planning and coordinating meetings, conferences, and events
  • Advanced skills in word processing, spreadsheets, desktop publishing, and database management
  • Strong communication and organizational skills
  • Ability to work independently and collaboratively
  • Proficient with online virtual platforms including Zoom
  • Knowledge of accounting and record keeping practices
  • Ability to maintain confidentiality and handle sensitive information
  • Ability to prioritize and manage multiple deadlines

Job Duties

  • Plan, coordinate, implement, and execute logistical and administrative details for in-person and virtual meetings, workshops, and events
  • Develop and distribute promotional materials including announcements, flyers, and registration forms
  • Maintain participant lists, generate confirmations, invoices, and other communications
  • Arrange for venues, speakers, judges, panels, catering, and equipment rentals
  • Coordinate contracts and applicable forms for event needs
  • Maintain records and prepare technical reports and documents
  • Provide information and technical assistance regarding departmental policies and procedures
  • Compose correspondence such as emails, memos, reports, and agendas
  • Review and maintain financial information and process accounting documentation
  • Enter and update information into systems and develop custom spreadsheets and databases
  • Maintain calendars of schedules, deadlines, and programs
  • Perform event registration duties including the preparation of registration packets and scheduling
  • Perform other duties as required to accomplish the objectives of the position
