Job Requirements
- Must have an associate’s degree or 3 plus years of experience in administration and/or hospitality
- must have proficiency in Microsoft Excel including use of basic formulas and generating charts
- must have proficiency in Microsoft Word including formatting and mail merge
- must have strong organizational and customer relation skills
- must have excellent written and verbal communication skills
- must be able to work on multiple projects and prioritize work
- must be able to establish and maintain good working relationships
- must be authorized to work in the United States now or in the future without visa sponsorship
- must be able to stand and sit for prolonged periods, bend, stoop, stretch and lift up to 20 lbs
Job Qualifications
- Associate’s degree or 3 plus years of experience in administration and/or hospitality
- proficiency in Microsoft Excel including spreadsheets, data entry, basic formulas such as SUM, AVERAGE, IF, and generating simple charts and graphs
- proficiency in Microsoft Word including formatting, creating tables, and mail merge functions
- strong organizational skills
- excellent communication skills both written and verbal
- ability to work on multiple projects and meet deadlines
- ability to establish and maintain effective working relationships with co-workers and clients
- working knowledge of practice management systems
Job Duties
- Answers the telephone in a professional manner and directs callers to appropriate personnel or department
- greets and assists walk-in clients
- creates a warm welcome for visitors and staff
- schedules appointments and reserves meeting rooms
- collaborates with local office management, marketing coordinator and marketing managers to plan and coordinate off-site events such as research venues/caterers, negotiates contracts, determines food and beverage for meetings and social events
- plans and coordinates on-site events and meetings including finalizing events with partners or managers, ordering food and setting up events
- plans and orders food for busy season meals and snacks
- assists with daily mail and data entry projects
- manages inventory of supplies and places orders for office and break room supplies, printer cartridges, celebrations and meals
- provides meter readings to copier services companies
- validates parking vouchers and maintains the log
- reconciles parking ramp invoice to the log
- orders business cards and name badges
- creates workstation name plates and prepares a warm welcome for new hires
- cleans up conference rooms, stocks break room supplies and beverages
- delivers mail and packages, creates UPS and FedEx labels, coordinates courier services
- collaborates as part of an administrative team to meet all administrative deadlines
