Job Requirements
- Associate or bachelor degree
- Minimum three years of customer service or administrative support experience
- Ability to handle confidential information with discretion
- Advanced proficiency in Microsoft Office Suite
- Strong written and verbal communication skills
- Ability to manage multiple priorities and multitask effectively
- Availability to work occasional extended hours
- Physical ability to occasionally lift up to 25 pounds and perform other physical demands
- Experience in an academic or healthcare environment preferred

- Experience in academic or healthcare administrative support preferred
- Advanced proficiency in Microsoft Office Suite including Word Excel PowerPoint and Outlook

- Familiarity with basic medical terminology and academic processes
- Leadership and supervisory skills
Job Duties
- Provide comprehensive administrative support to a Chair or Senior Leader including managing complex calendars
- Schedule high-level meetings and coordinate travel arrangements
- Act as a liaison between the Chair or Senior Leader and internal or external stakeholders
- Oversee daily operations of the department ensuring a well-organized and efficient office environment
- Supervise and mentor junior administrative staff delegating tasks and providing guidance
- Handle high-level communications including drafting and reviewing correspondence reports and presentations
- Lead and coordinate special projects and initiatives ensuring timely completion and alignment with goals
- Plan and execute departmental events conferences and seminars including logistics budgeting and communication
- Manage budget preparation financial reporting and expense management including invoice and purchase order approval
- Maintain and analyze departmental data generating detailed reports and providing insights
- Ensure compliance with policies and assist in policy development and staff training
- Identify opportunities for process improvements and implement changes to enhance efficiency
