Job Requirements

  • High school diploma or equivalent
  • valid California driver license
  • maintain good driving record
  • active auto insurance
  • minimum two years of administrative experience
  • ability to communicate effectively verbally and in writing
  • proficiency with computer and office software
  • ability to manage multiple tasks and projects
  • reliable transportation and availability to travel occasionally including weekends
  • legally authorized to work in the United States
  • no requirement for future employment visa sponsorship

Job Qualifications

  • High school diploma or equivalent
  • preferred AA/AS degree
  • valid California driver license with good driving record and active auto insurance
  • minimum two years experience in an administrative capacity
  • healthcare clerical or administrative experience preferred
  • proficient people skills and verbal and written communication skills
  • skilled in computer data input, word processing, typing, scheduling appointments, and telephone communication
  • manual dexterity and motor skills
  • tactful and diplomatic interpersonal skills
  • ability to handle conflict and criticism objectively
  • strong organizational skills
  • self-starter with ability to work independently and exercise good judgement
  • capability to multitask and handle competing deadlines
  • legally authorized to work in the United States full-time without visa sponsorship

Job Duties

  • Assist in the development, maintenance, and tracking of departmental files
  • provide administrative support for department leadership including preparing reports, updating, and maintaining spreadsheets, documents, and workflows
  • order and manage department supplies and inventory
  • maintain department electronic files and share drives
  • schedule and set up department meetings or conferences including preparing agendas, taking and distributing minutes
  • edit, update, and maintain department documents including guidelines, forms, and policies
  • maintain department master calendar, schedule appointments and interviews for department leadership
  • assist with department and regulatory audits by completing or obtaining data
  • maintain department binders and literature including emergency preparedness and orientation binders
  • represent the department at community or organizational events requiring occasional travel and weekend work
  • assist with completing administrative forms and documents related to staffing
  • verify and assist in editing department communications for accuracy
  • perform other duties as assigned by department leadership
