Job Requirements

  • high school diploma or GED
  • two years experience in administrative, secretarial or receptionist role
  • ability to type accurately and proofread documents
  • proficiency with filing, copying, scanning, and scheduling
  • customer service skills
  • ability to handle confidential information
  • strong organizational and multitasking skills
  • must obtain Notary Public certification within six months
  • valid driver’s license and safe driving record
  • successful completion of background checks, oral board, reference checks
  • availability for video interview and in-person assessment
  • ability to work Monday-Friday, 8 am to 5 pm, with occasional overtime

Job Qualifications

  • high school diploma or GED
  • two years experience providing administrative secretarial support or receptionist duties
  • ability to type, proofread and process various documents
  • experience with filing, copying, and scanning
  • organizational skills to maintain administrative files and records
  • customer service experience
  • ability to manage telephone and in-person inquiries
  • preferred associate's degree in business or related field
  • ability to obtain Notary Public certification within six months of employment

Job Duties

  • serve as receptionist answering telephone and routing calls
  • assist general public providing information on District programs, policies and procedures
  • perform routine clerical work including filing, copying, scanning, scheduling appointments and meetings
  • type, proofread and process correspondence, memos and Standard Operating Procedures
  • assist with organization and maintenance of administrative files including archiving
  • provide telephone and in-person support for Ambulance Membership Program including enrollment and renewals
  • assist public scheduling car seat checks and station/engine tours
  • schedule ride-alongs for prospective firefighters or paramedics
  • manage incoming and outgoing mail and packages, including logging and processing
  • provide support to Fire Prevention Administrative Assistant during absences
  • order office supplies as assigned
  • assist accounting personnel with ambulance billing and collections reporting
  • respond to requests for ambulance transport billing and patient care reports
  • respond to requests for fire reports
  • maintain optional clothing inventory, including order fulfillment and monthly counts
  • survey kitchen supplies and develop shopping lists
  • receive, record and check in incoming equipment, merchandise and supplies
  • conduct maintenance checks on office equipment and coordinate service calls
  • read and interpret maps and provide directions to the public
  • set up conference rooms for meetings and maintain Board kitchen
  • provide support to Administrative Assistants during special projects and absences
  • perform related duties as assigned
