Job Description
The Committee for Public Counsel Services (CPCS) is a Massachusetts state agency tasked with providing legal representation to individuals who cannot afford an attorney, as mandated by the state or federal constitution or state statutes. CPCS ensures access to justice by offering legal aid in criminal, delinquency, youthful offender, family regulation, guardianship, mental health, sexually dangerous person, and sex offender registry cases, including related appeals and post-conviction proceedings. Job Requirements
- One year of full-time, or equivalent part-time, experience in administrative work or any equivalent combination of the required experience and substitutions
- An associate's or higher degree with a major in business administration, business management, or public administration may be substituted for the required experience
- Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed
- Access to home internet access sufficient to work remotely
Job Qualifications
- Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint)
- Excellent communication skills, both oral and written
- Strong organizational abilities
- Ability to maintain confidentiality and to exercise considerable judgment and discretion
- Previous administrative assistant, office manager or similar experience and knowledge of general office procedures (e.g., correspondence, scheduling, filing)
- Ability to handle multiple tasks, prioritize effectively, meet deadlines, and deliver high quality work
- Proficiency and experience with scanning, optical character recognition processing (experience working with and entering text into spreadsheets is preferred)
- Ability to establish effective working relationships and to work as part of a team
- Good problem-solving skills
- Project management experience is preferred
- Strong research, writing and editorial skills
- Experience with Wordpress, editing video and audio files, and distance learning tools preferred
- Experience in database creation and management
- Experience working with budgets and grants
Job Duties
- Coordinating staff and private counsel training programs and production of training materials
- Producing and disseminating written resources through weekly emails, bi-monthly newsletters, and websites
- Compiling and inputting data and reviewing statistics to ensure the work plan and departmental training goals are being met
- Communicating regularly with staff and private attorneys, and other professionals across Massachusetts
- Working with the other CPCS training department staff to support agency-wide trainings and events
- Assisting in development of training budgets and maintenance of accounting records on spending
- Updating website as needed
- Providing a broad range of administrative support, including phone reception, word and data processing, copying, scanning, and redacting legal documents
- Coordinating and managing calendars
- Assisting with other projects to improve the quality of legal representation and to enhance client services
- Supporting the Training Department as needed
- Other duties as assigned
