Job Requirements

  • Proven admin or assistant experience
  • bilingual (optional)
  • knowledge of office management systems and procedures
  • excellent time management skills and ability to multi-task and prioritize work
  • attention to detail and problem-solving skills
  • excellent written and verbal communication skills
  • strong organizational and planning skills
  • proficient in MS Office
  • at least 1 years of experience in the field or in a related area
  • high school diploma or equivalent, college degree preferred

Job Duties

  • Answer and direct phone calls
  • greet residents, assist with their questions and provide general support
  • produce and distribute correspondence memos, emails, letters, faxes and forms
  • assist CAM in the preparation of reports needed
  • order office supplies, and maintain inventory of supplies and office necessities
  • processing of data into required format, systems or report
  • handle multiple projects at one time
  • ensure operation of office equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, evaluating new equipment and techniques at CAMs direction
  • contribute to team effort by accomplishing related results as needed
  • carry out administrative duties such as filing, copying, binding, scanning etc.
  • write letters and emails on behalf of other office staff
  • maintain computer and manual filing systems
  • learn needed Front Desk Software
  • handle sensitive information in a confidential manner
  • coordinate office procedures with as requested by CAM
  • reply to email, telephone or face to face enquiries
  • develop and update administrative systems to make them more efficient with as requested by CAM
  • receive, sort and distribute the mail
  • coordinate repairs to office equipment
  • greet and assist visitors and vendors to the office
  • photocopy and print out documents on behalf of other colleagues
  • processing of ACC Applications, working with CAM
  • manage inventory of and distribute key cards, keys, RFID Decals, FOBs, remotes or other access devices for communities
  • posting of meeting signs, or other materials on property as requested by CAM
