Job Requirements

  • Associate’s degree or equivalent experience
  • Works independently and takes initiative to seek additional assignments
  • Minimum of one year administrative support experience for level I
  • Minimum of two years administrative support experience for level II
  • Minimum of three years administrative support experience for level III
  • Authorized to work in the U.S.
  • Ability to remain stationary most of the time
  • Ability to occasionally move around
  • Ability to communicate clearly
  • Frequent use of voice and hearing for communication
  • Ability to occasionally lift or move up to 10 pounds

Job Qualifications

  • Associate’s degree or equivalent experience
  • Bachelor’s degree preferred
  • Minimum of one year of experience in an administrative support role for level I
  • Minimum of two years of experience in an administrative support role for level II
  • Minimum of three years of experience in an administrative support role for level III
  • Ability to work independently and take initiative
  • Strong organizational and communication skills
  • Proficiency with office machines and standard computer software
  • Positive attitude and professional demeanor

Job Duties

  • Serve as a resource to students, staff, faculty and management
  • Perform administrative support tasks such as proofreading and transcribing handwritten information for data entry or preparation of documents
  • Perform filing, record maintenance, data entry, or running reports
  • Prepare information packets for interview rooms and orientation
  • Administer various employment and/or enrollment examinations as needed
  • Operate a variety of standard office machines including personal computer, fax, calculator, shredder and photocopy machine
  • Provide maintenance for office machines and postage meter
  • Sort and distribute incoming mail
  • Prepare outgoing mail and shipping of packages
  • Assist various departments with follow-up correspondence, document tracking, general communication and help maintain distribution groups and shared calendars
  • Coordinate campus events, retreats, and/or staff meetings including ordering food and beverages
  • Monitor inventory levels and requisition of supplies and equipment as needed
  • Purchase office supplies, order business cards and process purchase orders and invoices
  • Schedule meetings, reserve or manage reservations of conference rooms and other resources and make travel arrangements if needed
  • Operate multi-line switchboard answering high volume of incoming calls, screening and forwarding calls, providing information and taking messages
  • Greet guests visiting the campus, determine nature and purpose of the visit, notify appropriate staff and direct the person accordingly
  • Communicate with students, faculty, staff and others to answer questions, disseminate information, take messages and address complaints with a positive professional and pleasant disposition
  • Delegate and provide instruction of assignments to student workers or other administrative staff as needed
  • Fill in as backup coverage for front desk or reception duties as required
  • Perform other duties as assigned to keep the location’s operations running smoothly
