Job Requirements

  • 3-5 years of administrative experience
  • High School Diploma or equivalent
  • Proficient in timekeeping systems such as UKG, Kronos, or similar
  • Strong communication skills
  • Highly organized with strong attention to detail
  • Basic accounting knowledge or experience
  • Eligible to work in the United States

Job Qualifications

  • 3-5 years of administrative experience, preferably in a fast-paced or industrial environment
  • High School Diploma or equivalent
  • Associate degree in Business Administration or related field preferred
  • Proficient in timekeeping systems such as UKG, Kronos, or similar, and Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong communication skills with the ability to collaborate across teams and departments
  • Highly organized with strong attention to detail and the ability to manage multiple tasks
  • Basic accounting knowledge or experience in billing, invoicing, or job costing
  • Bilingual proficiency in Spanish is a plus
  • Eligible to work in the United States

Job Duties

  • Performs receptionist duties, including managing phone calls, greeting visitors, and handling team member inquiries
  • Collaborates with HR and payroll to maintain accurate timekeeping and attendance records using systems like UKG
  • Assists with onboarding and employee training by preparing materials and coordinating sessions
  • Maintains organized files and internal documents to ensure data accuracy and compliance
  • Drafts and distributes communications, prepares presentations, and manages mailings
  • Coordinates logistics for team events and employee functions, ensuring seamless execution
  • Arranges travel and housing for team members, handling all related logistics efficiently
  • Manages office supplies and equipment inventory, placing orders and overseeing maintenance
  • Tracks and schedules office maintenance requests and communicates updates
  • Performs basic accounting tasks including invoicing, job costing, and reconciliation
  • Supports management with special projects and administrative tasks to meet business objectives
  • Performs other duties as assigned
