Job Requirements

  • Bachelor's degree preferred
  • Minimum of 2 to 5 years of applicable work experience
  • Experience in hospitality or human resources preferred
  • Ability to lift up to 50 lbs with frequent lifting up to 25 lbs
  • Ability to stand or walk for significant durations
  • Ability to reach, handle, feel, talk, hear, and see
  • Must maintain professionalism under pressure
  • Strong organizational and communication skills

Job Duties

  • Ensures the timely completion of management duties such as scheduling and administrative tasks by managers as directed by the General Manager
  • Handles confidential financial and operational information relating to The Boca Raton
  • Oversees and coordinates day-to-day activities of office administrative support staff including management, training, scheduling, and prioritizing work assignments
  • Serves as the primary point of contact for internal and external constituencies regarding Executive Office matters
  • Provides assistance and represents the General Manager in communications with internal and external stakeholders
  • Independently researches and prioritizes issues addressed to the General Manager and determines appropriate responses
  • Manages and oversees all secretarial, guest communication, and administrative activities of the office
  • Participates in committees such as Food and Beverage, Rooms Division, Safety, Communications, and Executive Committee
  • Manages heavy calendar management involving complex executive meetings
  • Assists in preparing presentation materials for the General Manager
  • Coordinates travel schedules, aircraft transportation, and reservations
  • Assists in preparing VIP guest arrivals and coordinates with departments
  • Coordinates and monitors the Amenity program and welcome cards
  • Drafts guest experience recovery letters on behalf of the General Manager
  • Develops and manages the annual associate engagement calendar
  • Partners with senior leadership to identify and develop training, social, and community programs
  • Organizes reward and recognition initiatives, social, educational, and community events
  • Conducts exit interviews, pulse checks, and monthly round tables with associates
  • Leads annual associate opinion surveys and feedback groups
