Job Requirements
- High school diploma or equivalent plus 8 years of relevant experience or bachelor’s degree plus 4 years of relevant experience
- US Citizen or US Person status
- Strong organizational skills
- Ability to coordinate across multiple time zones
- Experience with scheduling complex interviews
- Familiarity with applicant tracking systems
- Effective communication skills
- Commitment to compliance with employment laws and regulations
Job Qualifications
- High school diploma or equivalent plus 8 years of experience or bachelor’s degree plus 4 years of relevant experience
- 1-2 years of TA coordination, administrative assistant and/or heavy calendaring/meeting scheduling experience preferred
- Advanced knowledge of Microsoft Office (Word, Excel, and Outlook) and internet research capabilities
- Experience using Workday and/or other information systems
- Strong organizational and communication skills
- Ability to handle multiple scheduling tasks efficiently
Job Duties
- Coordinate and schedule interviews across multiple time zones, ensuring alignment between candidates, recruiters, hiring managers, and interview panels
- Manage complex scheduling logistics including panel, executive, and/or high-volume interview calendars
- Serve as a primary point of contact for candidates throughout the interview process, providing timely updates, clear instructions, and a high-touch experience
- Arrange candidate travel (flights, hotels, ground transportation) and ensure seamless itineraries for onsite or final-stage interviews
- Process and/or track candidate expense reimbursements in accordance with company policy
- Prepare and distribute interview agendas, candidate profiles, and evaluation materials to interview teams
- Maintain accurate candidate records and status updates within the applicant tracking system (ATS)
- Help improve interview scheduling workflows, tools, and processes to increase efficiency and reduce time-to-schedule
- Track and report on scheduling metrics and coordination volume to support recruiting operations insights
- Contribute to continuous improvement of the candidate experience by identifying gaps and proposing solutions
- Support additional TA administrative and coordination tasks as business needs evolve
- Ensure recruiting and hiring practices adhere to all applicable local, state, and federal employment laws and OFCCP and EEOC guidelines
