Job Requirements

  • High school diploma or equivalent plus 8 years of relevant experience or bachelor’s degree plus 4 years of relevant experience
  • US Citizen or US Person status
  • Strong organizational skills
  • Ability to coordinate across multiple time zones
  • Experience with scheduling complex interviews
  • Familiarity with applicant tracking systems
  • Effective communication skills
  • Commitment to compliance with employment laws and regulations

Job Qualifications

  • High school diploma or equivalent plus 8 years of experience or bachelor’s degree plus 4 years of relevant experience
  • 1-2 years of TA coordination, administrative assistant and/or heavy calendaring/meeting scheduling experience preferred
  • Advanced knowledge of Microsoft Office (Word, Excel, and Outlook) and internet research capabilities
  • Experience using Workday and/or other information systems
  • Strong organizational and communication skills
  • Ability to handle multiple scheduling tasks efficiently

Job Duties

  • Coordinate and schedule interviews across multiple time zones, ensuring alignment between candidates, recruiters, hiring managers, and interview panels
  • Manage complex scheduling logistics including panel, executive, and/or high-volume interview calendars
  • Serve as a primary point of contact for candidates throughout the interview process, providing timely updates, clear instructions, and a high-touch experience
  • Arrange candidate travel (flights, hotels, ground transportation) and ensure seamless itineraries for onsite or final-stage interviews
  • Process and/or track candidate expense reimbursements in accordance with company policy
  • Prepare and distribute interview agendas, candidate profiles, and evaluation materials to interview teams
  • Maintain accurate candidate records and status updates within the applicant tracking system (ATS)
  • Help improve interview scheduling workflows, tools, and processes to increase efficiency and reduce time-to-schedule
  • Track and report on scheduling metrics and coordination volume to support recruiting operations insights
  • Contribute to continuous improvement of the candidate experience by identifying gaps and proposing solutions
  • Support additional TA administrative and coordination tasks as business needs evolve
  • Ensure recruiting and hiring practices adhere to all applicable local, state, and federal employment laws and OFCCP and EEOC guidelines
