Job Requirements

  • High school diploma or equivalent
  • More than two years of advanced education or experience specific to job requirements
  • Ability to apply general principles or techniques not typically received in high school
  • Working knowledge of technical work activity areas with ability to teach others
  • Knowledge of school district policies and practices
  • Valid Oregon driver’s license with insurable status
  • Hold a valid first aid card
  • Ability to communicate clearly verbally and in writing
  • Must abide by confidentiality and drug-free workplace policies
  • Physical ability to perform essential functions with or without accommodation
  • Ability to handle bodily fluids

Job Qualifications

  • High school diploma or equivalent
  • More than two years of advanced education or experience in office management or related field
  • Working knowledge of technical procedures and school district policies
  • Proficient in basic accounting principles including purchasing, receiving, account coding, bank reconciliation, and petty cash
  • Skilled in current office practices, procedures, communication, and equipment
  • Strong organizational, multi-tasking, and interpersonal skills
  • Ability to handle confidential information with discretion
  • Ability to communicate clearly in speech and writing
  • Valid Oregon driver’s license
  • First aid certification
  • Computer literate with ability to use district software, internet, and email
  • Ability to learn spreadsheet and database design

Job Duties

  • Assures office management and support services are provided by scheduling and distributing workload among office staff and assisting administrator in developing office procedures
  • Assists principal with preparing annual budgets and ensures expenditures are coded correctly while maintaining budgets throughout the year
  • Coordinates, trains, and provides orientation for new staff, substitutes, student assistants, and parent volunteers
  • Serves as school site purchasing agent, maintains ordering of goods and supplies, processes new independent contractors and services, manages accounting records including purchase orders, cash receipts, petty cash, credit card transactions, and budget reconciliations
  • Maintains confidential employee records, oversees substitute systems and assists in sourcing substitutes, enforces student legal documentation confidentiality
  • Provides confidential administrative support by composing correspondence, maintaining calendars, processing evaluations and new hire documentation
  • Provides services to students, staff, and community including enrollment, directions, building tours, managing building use, deescalating volatile situations, handling telephone calls
  • Acts as first point of contact for health room, providing first aid, dispensing medications, supervising health room in nurse absence, and ensuring proper incident reporting
  • Assists administrators with reports, memoranda, staff and family communications, social media, and school website maintenance
  • Manages site facility keys, district badges, facility maintenance requests, safety records, and participates in site safety committee
  • Serves as liaison among parent/teacher organizations, community partners, building administrators, district personnel, staff, and public
  • Supervises secretarial, clerical, and educational assistant staff
  • Manages mail sorting and routing
  • Performs related duties as assigned
