Job Requirements

  • 3+ years’ experience as an administrative assistant or similar role
  • ability to work independently and multi-task
  • experience handling confidential and sensitive information
  • strong communication and interpersonal skills
  • proficiency in MS Outlook
  • ability to manage multiple competing priorities
  • attention to detail and accuracy
  • ability to maintain professionalism and executive presence
  • availability to work 40 hours per week Monday to Friday 8am-5pm
  • ability to lift up to 30 lbs
  • comfortable using computers and office technology

Job Qualifications

  • 3+ years’ experience as an administrative assistant or comparable level of experience as a senior administrative assistant
  • demonstrated ability to interact with senior level executives
  • strong executive presence
  • superior interpersonal communications skills
  • proficient in MS Outlook
  • ability to multi-task in an urgent and deadline-driven environment
  • accuracy and quality control skills
  • excellent attention to detail and organizational skills
  • pro-active attitude and time management skills

Job Duties

  • Provide executive administrative support to the GT Quality Assurance Executive
  • managing the schedule of the Executive including meetings, tele-presence and travel
  • scheduling staff events
  • coordinating and responding to correspondence and requests from outside groups and senior management
  • typing memoranda and correspondence
  • maintaining accurate records
  • preparing expense reimbursement
  • communicating with executives and line management to gather and convey relevant information
  • answering manager's phone line and documenting accurate messages
  • proactively managing the calendar of multiple stakeholders and resolving conflicts professionally
  • managing all travel planning and expenses
  • preparing meeting minutes and related documents
  • liaising with outside groups to coordinate events
  • scheduling of meetings and calendar management
  • accurately arranging complex travel plans and itineraries
  • assisting with various administrative aspects of department management
