Job Duties
- Maintain executive(s) calendar and schedules meetings
- handle sensitive information confidentially
- make travel arrangements including flights, cars, hotels, and meeting rooms
- coordinate conference calls and webinars
- organize meetings including setting date, notifying attendees, preparing agenda, and ordering food
- receive and code invoices for executive approval
- compose professional letters and emails
- assist in special projects including research
- schedule interviews and provide travel arrangements for candidates
- maintain contracts and coordinate signatures
- order gift cards as directed
- take notes at meetings
- provide notary services
- assist receptionist with telephone duties
- field and post questions/comments for Microsoft Teams Live Event Quarterly Meetings
- support other executive assistants during absences
- continuously improve processes and service quality
- adhere to company policies and legal regulations
