The role of the Event Manager is critical to the success of any event hosted by the company. The Event Manager will be responsible for managing and coordinating the activities of staff, convention personnel, and clients to ensure every aspect of group meetings, events, or conventions is professionally planned and executed. This involves consulting with customers to clearly understand their objectives and specific requirements for each event, from developing detailed programs, agendas, and budgets to ensuring that all logistical needs such as accommodation, transportation, catering, and security are arranged and managed proficiently. The role demands close supervision and coordination with event site personnel to monitor event compliance with regulations and laws, address participant satisfaction, and swiftly resolve any issues that arise on-site. Additional managerial duties include negotiating contracts with service providers like hotels and convention centers, inspecting event facilities to verify they meet customer specifications, and maintaining precise records of all event-related details, including financials. The Event Manager will also evaluate post-event feedback to enhance future event planning continually.
Supervisory responsibilities are a major component of this position, requiring the direct oversight of a minimum of five employees within the Events Department. This includes recruiting, hiring, training, and motivating staff, as well as planning and directing their work assignments. The successful candidate will also be tasked with performance appraisal, disciplinary actions, and conflict resolution as per organizational policies and applicable laws. Collaboration with the sales team is essential, supporting efforts through the preparation of business reviews, sales presentations, and marketing assistance. The ability to work in a fast-paced environment and maintain composure while handling multiple events simultaneously is paramount. The ideal candidate should possess excellent communication, organizational, and leadership skills with a strong background in customer service and event management. A Bachelor’s degree is preferred, along with one to six years of relevant experience. The physical demands and working conditions include frequent standing, walking, and occasional lifting, with a typical work noise level described as moderate. Job Requirements
- Bachelor's degree or equivalent combination of education and experience
- minimum four years of related experience in event management or similar field
- customer service experience of at least one year
- ability to communicate effectively before groups and write routine reports correspondence
- knowledge of relevant computer software including word processing and accounting systems
- ability to read and interpret technical documents and manuals
- capacity to solve practical problems and interpret various types of instructions
- physical ability to stand walk frequently and occasionally lift up to 25 pounds
- must be able to relocate to Providence RI before starting work
- availability to work flexible shifts including evenings weekends and holidays according to business needs
Job Qualifications
- Bachelor's degree from a four-year college or university
- four to six years of related experience or equivalent combination of education and experience
- strong written and verbal communication skills

Job Duties
- Consults with customers to determine objectives and requirements for events such as meetings conferences and conventions
- Monitors event activities to ensure compliance with applicable regulations laws satisfaction of participants and resolution of any problems that arise
- Confers with staff at event sites to coordinate details
- Cross-serves and assists team members as needed
- Reviews event bills for accuracy and approves payment
- Plans and develops programs agendas budgets and services according to customer requirements
- Coordinates services for events including accommodation transportation facilities catering signage displays special needs printing and security
- Arranges availability of audio-visual equipment transportation displays and other needs
- Inspects event facilities to ensure conformance to customer requirements
- Maintains records of event aspects including financial details
- Conducts post-event evaluations to improve future events
- Negotiates contracts with service providers such as hotels and convention centers
- Meets with sponsors and organizing committees to plan scope budget and format of events
- Supervises catered parties and wait staff
- Plans staffing for banquets including scheduling and assigning staff
- Adheres to restaurant policies and safety procedures
- Reports problems to management
- Directs administrative details such as financial operations promotion and inquiries
- Evaluates and selects service providers
- Reads trade publications and attends seminars on event management
