Located in Hoboken near South Station, CBRE is currently seeking a skilled and detail-oriented Meeting and Events Senior Planner. This pivotal role involves leading the successful execution of a broad range of events as the primary point of contact for clients. The Senior Planner is responsible for communicating event details to the meeting and events operations team to ensure flawless delivery and exceeding client expectations. This position requires managing the entire event lifecycle—from guiding clients through planning, managing scheduling and logistics, coordinating with vendors, and overseeing on-site event execution to post-event analysis and reporting. The Senior Planner will operate on-site and typically work an 8:00 AM to 4:30 PM schedule, with flexibility required to adjust shifts based on business needs.

The Meeting and Events Senior Planner handles a complex master events calendar for medium to large event spaces and liaises closely with internal teams and external vendors to guarantee every detail aligns with client desires and operational requirements. This dynamic role demands advanced project management skills, strong organizational abilities, and a warm, engaging demeanor to foster effective relationships with clients and stakeholders. A broad understanding of audio-visual needs, furniture and equipment configurations, catering services, transportation options, and attendee support services is essential. The Senior Planner must be comfortable problem-solving on the fly, handling escalations, and creatively navigating logistical challenges to deliver seamless event experiences.

In supporting high-profile and large-scale meetings and events, the planner exercises sound judgment to develop end-to-end plans that align with industry best practices and corporate safety and security standards. Responsibilities also include vendor management, briefing teams, conducting planning meetings, ensuring documentation accuracy like banquet event orders, and supporting junior team members. Budgeting duties, such as invoice review and cost adherence, also fall under this role’s purview, along with continuous recommendations to improve event processes and efficiencies.

Job Duties

  • Serve as primary point of contact for high profile and large engagements
  • Develop and communicate end-to-end complex event plans for flawless execution
  • Manage complex master meeting and events calendar
  • Conduct all communications, planning meetings, and proactively plan logistics
  • Greet event hosts, introduce service delivery teams, answer questions, and ensure understanding of event details
  • Source, select, and recommend vendors for catering, decor, entertainment, giveaways, and more
  • Manage event set-up, staff communication, vendor organization, attendee and speaker support, and tear-down
  • Create and manage detailed event planning timelines and ensure deadlines are met
  • Monitor progress and schedule of events and tasks
  • Build and maintain work relationships with internal and external clients
  • Lead planning calls and ensure safety and security regulation compliance
  • Coordinate with internal partners and outside vendors to meet client expectations
  • Create and distribute banquet event orders with timelines and floorplans
  • Manage on-site logistics including vendor management, insurance verification, and issue escalation
  • Capture post-event reporting, reconciliation and recommend improvements
  • Provide informal guidance to junior team members
  • Support budget creation and ensure budget adherence including invoice review
  • Perform other assigned duties
