The role of Senior Events Planner at JHU School of Nursing is designed for an experienced professional to independently conceptualize, implement, manage, and evaluate a wide range of organizational events. These can include mid-size to large and complex events involving international travel, foreign dignitaries, or political figures, sometimes necessitating heightened security measures. This position is key to representing and enhancing the JHU brand through flawless event execution and resourceful collaboration with internal leaders and external vendors. The Sr. Events Planner will provide expertise and serve as a resource for managers and employees, ensuring the smooth execution of events that promote JHU's strategic goals.

In this full-time role, the Senior Events Planner will oversee every aspect of event planning, from budgeting and contract negotiation to venue selection, marketing collaboration, and day-of management. The planner is responsible for developing procedures and protocols to maintain consistency and quality across events and recommending policy improvements to enhance efficiency. Events may take place both on campus and at external venues, requiring coordination with various stakeholders to develop themes, styles, communications, invitations, and marketing materials. Through diligent management of projects, timelines, guest lists, dietary needs, and vendor relationships, this role ensures successful event delivery within fiscal budgets.

The Senior Events Planner also embraces technology by utilizing industry-standard software solutions such as Social Tables, Eventbrite, and Cvent for planning, registration, and execution. They will be adept at managing virtual and hybrid events using platforms like Zoom and Teams, facilitating live streams, broadcasts, and other digital programming. Additionally, the Sr. Events Planner plays a mentorship role by training colleagues and enhancing the department's digital event management capabilities.

With a starting salary range of $55,145 to $96,760 annually (targeted at $75,955 and commensurate with experience), this exempt position operates primarily Monday through Friday from 8:30 am to 5:00 pm, with occasional evening and weekend hours to meet event demands. Job Requirements

  • Additional education may substitute for required experience and vice versa as per the JHU equivalency formula

  • Proficiency in budgeting, event planning, guest relations, invoicing, menu planning, public relations, and vendor management at an intermediate level

Job Duties

  • Plan and execute mid-size to large and complex divisional, departmental, and organizational events with broad-reaching internal and external impact
  • Develop and manage event budgets, commit funds, and finalize event contracts
  • Develop procedures and protocols for events and use of space
  • Identify policy improvements and make effective recommendations related to event planning
  • Work with organizational leadership to plan and orchestrate events on campus and at outside venues, including developing the theme, style, communications, and invitations
  • Provide day-of support for events and prepare other staff to manage events
  • Manage relationships with vendors, hotels, venues, and external organizations
  • Create event experiences that are inclusive and accessible
  • Prepare briefings, status updates, reports, summaries, and presentations for internal and external partners
  • Stay current on industry software to improve event planning processes
  • Train colleagues and stakeholders on event platforms
  • Use software such as Teams, Zoom, and IBM Player to facilitate virtual events
  • Manage inventory of event supplies
  • Approve invoices and expenses in financial systems
  • Collaborate with Marketing & Communications on event promotion and materials
  • Develop annual calendar of events with leadership
  • Conceptualize events including setting goals, recruiting speakers, and managing guest lists
