The Patient/Guest Relations Representative plays an integral role within Keck Medical Center's Clinical Administration team, providing pivotal assistance to patients, their families, visitors, and colleagues by facilitating access to hospital services and local community resources. This position requires the Representative to act as a visible and approachable resource who offers direction and support in a professional, hospitable manner aligned with the hospital's "KNOWN" Service standards and strict patient privacy regulations. The Representative's responsibilities extend beyond customer service to include the upkeep and cleanliness of lobby areas, workstations, and patient consultation spaces, ensuring a welcoming and orderly environment at all times.

Key responsibilities include greeting patients and visitors kindly, providing accurate directions to physician offices and campus buildings, offering concierge assistance such as arranging lodging, transportation, dining reservations, and other personal or business services. The Representative also participates in patient Welcome Rounds to enhance the overall patient experience and disseminates important information about hospital amenities including parking, visitation, and cafeteria hours. In addition, this role coordinates surgical information flow between medical staff and patient families, distributes pagers as necessary, and maintains contact accuracy. Regular rounds of public spaces are conducted to ensure cleanliness and safety, involving coordination with housekeeping and engineering departments.

The Representative is also tasked with addressing visitor concerns promptly, directing media and vendor interactions per hospital policies, providing wheelchairs, delivering flowers and packages, managing visitor passes and volunteer meal tickets, all while maintaining total professionalism and confidentiality. This position demands excellent communication skills, public relations expertise, and a strong customer service orientation, preferably supported by experience in healthcare or corporate concierge environments. Licenses including Fire Life Safety Training and Basic Life Support are required to ensure compliance and safety throughout the role.

Job Requirements

  • High school diploma or equivalent
  • Minimum 1 year of customer service experience preferably in healthcare or corporate concierge setting
  • Excellent public relations skills
  • Demonstrate excellent customer service behavior
  • Strong verbal and written communication skills
  • Fire Life Safety Training if applicable within LA City to be obtained within 30 days of hire
  • Basic Life Support (BLS) Healthcare Provider certification from American Heart Association

Job Qualifications

  • Bilingual in English and Spanish preferred

Job Duties

  • Greet colleagues, patients, their families and visitors with kind greetings following KNOWN Service Standards
  • Provide accurate directions and assistance to patients going to physician offices and other Health Science Campus buildings
  • Provide concierge services including driving directions and information regarding community resources, lodging and transportation reservations, assistance with personal and business services, transport patient luggage, coordinate taxicab voucher requests
  • Participate in Welcome Rounds for new patients following patient experience protocols
  • Provide accurate information about meeting room locations, hospital parking, visiting regulations, cafeteria hours and hospital services
  • Coordinate flow of surgical information between physicians, surgical staff and patient family members, distribute pagers, and record contact information
  • Complete hourly rounds of lobby and patient/family resource centers, ensuring cleanliness and order
  • Alert security to problems and provide information
  • Coordinate environment of care services with housekeeping and engineering
  • Direct complaints or concerns to appropriate personnel
  • Alert marketing to media presence and direct vendors to Materials Management
  • Provide wheelchairs per hospital policy
  • Deliver flowers, mail and packages accurately
  • Distribute visitor passes and volunteer meal tickets according to hospital policy
  • Maintain professionalism and confidentiality at all times
  • Perform other duties as assigned
