We are currently seeking a highly organized and detail-oriented Meeting and Events Planner to join our dynamic team. In this role, you will be responsible for the full spectrum of event planning, from initial concept through to the final execution, ensuring that all meetings and events run efficiently and leave a lasting positive impression. Your work will have a direct impact on the success of corporate, community, and internal events that support MaineHealth's mission and values. The Meeting and Events Planner will handle a variety of responsibilities including developing event budgets, timelines, and agendas, managing logistics such as venue selection, catering, transportation, and audio-visual needs, as well as negotiating contracts with external vendors to ensure cost-effective solutions. Collaboration is essential in this role, as you will work closely with internal teams and external partners to communicate all event details and coordinate resources effectively.

In addition to event coordination, you will be the primary point of contact for event attendees, addressing any concerns that arise and ensuring that customer service standards are upheld at all times. Monitoring and tracking expenses, conducting post-event evaluations, and recommending improvements are also critical components of this role, ensuring that our events continue to evolve and incorporate the latest industry trends and technologies.

Job Requirements

  • Bachelor's degree or equivalent experience in event planning or related field
  • Minimum of 2 years experience in meeting and event planning
  • Strong computer skills including proficiency in event management software
  • Excellent verbal and written communication skills
  • Ability to work flexible hours including evenings and weekends as needed
  • Valid driver's license may be required for some events
  • Ability to manage multiple projects simultaneously
  • Strong attention to detail and organizational skills

Job Duties

  • Plan and coordinate all aspects of events and meetings from initial conception to final execution
  • Develop event budgets and timelines and ensure all events stay within budget and are executed on time
  • Collaborate with internal teams and external vendors to ensure all event details are communicated and executed effectively
  • Negotiate contracts and rates with vendors to secure the best services and prices for events
  • Manage event logistics including venue selection, catering, transportation, and audio-visual needs
  • Create and distribute event invitations and manage RSVPs
  • Coordinate event registration and handle attendee inquiries
  • Develop event agendas and ensure all necessary materials and equipment are prepared and available
  • Monitor and track event expenses and provide regular updates to management
  • Conduct post-event evaluations and make recommendations for future improvements
  • Act as the main point of contact for event attendees and handle any issues or concerns that may arise
  • Stay updated on industry trends and make recommendations for incorporating new ideas and technologies into events
  • Maintain a high level of professionalism and customer service at all times
  • Adhere to company policies and procedures as well as all health and safety regulations
  • Assist with other administrative tasks and projects as needed
