The role of Hospitality & Events Coordinator is a vital position within Foodlink's Marketing & Development department, reporting directly to the Senior Manager of Hospitality & Events. This full-time, hourly, non-exempt role (grade 3) is designed for an operational and customer service-focused professional who thrives in a fast-paced, service-oriented environment. The Hospitality & Events Coordinator acts as a warm and welcoming ambassador for Foodlink, providing exceptional hospitality and customer service to a diverse range of stakeholders including event guests, volunteers, donors, community members, and partners.
Key responsibilities include providing seamless event support by coordinating event operations, managing event-related inquiries, invoicing, and payment tracking for Foodlink-hosted events, facility rentals, and special functions. This role is hands-on during event execution, assisting with setup, registration, guest hospitality, vendor coordination, and maintaining event inventory. The coordinator is also instrumental in volunteer engagement efforts, managing volunteer communications, scheduling, and creating an inclusive, mission-centered volunteer experience.
In addition to event and volunteer responsibilities, the Hospitality & Events Coordinator supports administrative functions that include managing general information inquiries, assisting with data entry and accounts payable tracking, credit card reconciliation, mail collection, and serving as backup reception. The position demands strong organizational skills, excellent communication abilities, and proficiency with Microsoft Office and database systems. Flexibility to work evenings and weekends as needed for events and volunteer activities is essential.

Job Requirements
- Minimum 1 year of experience in customer service, hospitality, event support, volunteer coordination, administration, or a related field

Job Duties
- Serve as the first point of contact for event space inquiries, responding to requests and escalating opportunities as appropriate
- coordinate event vouchering, invoicing, and payment tracking for Foodlink-hosted events, facility rentals, and special events
- provide day-of-event support including setup, registration, guest hospitality, vendor coordination, and event execution
- maintain event inventory and supplies including ordering materials and organizing storage
- communicate with volunteers regarding scheduled shifts, expectations, attire, arrival instructions, and schedule changes
- welcome volunteers and cultivate a friendly, inclusive volunteer experience
- support daily warehouse volunteer check-ins and assist with tours and organizational overview
- prepare and distribute volunteer service verification letters and documentation
- manage general information email account, respond to inquiries, provide administrative support including data entry assistance, accounts payable tracking, vendor documentation, credit card reconciliation, mail collection, backup reception coverage
- assist with documenting donor interactions and outreach activities within CRM system
