Job Description
Johns Hopkins Institute for Planetary Health (JHIPH) is a pioneering organization within Johns Hopkins University that focuses on the emerging global field of Planetary Health. This rapidly evolving discipline examines the impacts of human disruptions on Earth’s natural systems and the consequent effects on human health and well-being. JHIPH’s mission is to catalyze scholarship and practical efforts across the University to address the global health and humanitarian challenges posed by environmental changes. The Events Planner role at JHIPH is an exciting opportunity for a detail-oriented, motivated professional to support the Institute and the Planetary Health Alliance in delivering a wide range of events designed to build community, establish identity, and drive collaborative action. This full-time, exempt position offers a hybrid work arrangement and a competitive salary range of $46,200 to $80,800 annually, commensurate with experience. Reporting to the JHIPH Senior Administrative Manager, the Events Planner will work closely with faculty, program personnel, executive leadership, and the communications team. Responsibilities include conceptualizing, planning, facilitating, managing, and evaluating complex events such as large dinners, symposia, conferences, and other convenings, both on campus and at external venues.
The planner will develop event themes, manage budgets, select venues, coordinate logistics like catering and rentals, handle RSVPs and invitations, maintain event schedules, and oversee relationships with external vendors. This role requires a sophisticated understanding of event technology platforms such as Social Tables, Eventbrite, Zoom, and Cvent, supporting both in-person and virtual programming. A strong emphasis is placed on creating inclusive and accessible event experiences that are tailored to diverse audiences including faculty, students, donors, and external partners. The planner will also collaborate closely with marketing professionals to develop promotional campaigns and day-of materials, and with leadership giving staff to engage donors effectively.
Candidates should have at least two years of relevant experience, preferably in higher education or a similar setting, along with strong interpersonal and organizational skills. Experience in managing large and complex events such as conferences and symposiums, and certifications such as Certified Meeting Professional (CMP) are highly desirable. The role entails occasional travel and flexibility to work evenings and weekends to accommodate event schedules. Job Duties
- Work with divisional, departmental, and center leadership to plan and facilitate events on campus and at outside venues
- Develop themes, styles, and language for communications including invitations and event promotion
- Provide information to determine appropriate venues for various events
- Collaborate on style, flow, and layout of each event
- Create and maintain project schedules
- Ensure timelines and details such as invitations, RSVPs, and dietary needs are accurate
- Coordinate all arrangements including catering, rentals, custodial services, and flowers
- Manage budgets for the fiscal year
- Create event briefings for leadership contacts
- Manage outside vendor contracts and relationships
- Maintain inventory of event supplies
- Approve invoices and expenses
- Develop an annual calendar of events in collaboration with leadership
- Collaborate with marketing and communications on event promotion and materials
- Conceptualize events by setting goals, recruiting speakers, developing agendas, and managing guest lists
- Provide day-of event support and manage staff as appropriate
- Manage relationships with vendors, hotels, venues, and external organizations
- Create inclusive and accessible event experiences
- Prepare briefings, reports, summaries, and presentations for partners
- Stay current and train colleagues on industry event software
- Facilitate virtual events using platforms like Teams, Zoom, and IBM Player
- Perform other duties as assigned
