Lenox Advisors is currently seeking an experienced and highly organized Event Coordinator passionate about crafting exceptional events and ensuring their seamless execution. The Event Coordinator will be responsible for gathering insights from various stakeholders, conducting thorough research and site visits, and developing creative event concepts. The role expects a standard in-office presence of at least three days per week, with flexibility to support events that often occur outside regular business hours. Travel within the NYC and tri-state area will constitute approximately 25% of the job duties.

Key responsibilities include comprehensive event planning and execution, managing logistical aspects from timelines to run-of-show documents, and leading onsite event management including setup and vendor coordination. The Event Coordinator will maintain strong vendor and venue relationships, negotiate contracts in partnership with the management team, and ensure service delivery aligns with budgets and event objectives. An essential aspect of the role involves managing event registration, tracking attendee engagement, and overseeing communication strategy in close collaboration with marketing teams.

Stakeholder collaboration is vital for aligning event goals and messaging, and the Event Coordinator will act as a nexus between internal teams and external partners. Budget creation, financial tracking, invoice processing, and post-event analysis are integral to this role to optimize cost efficiency and enhance future events. Job Requirements

  • Bachelor’s degree or equivalent experience in event management or related field
  • Minimum 5 years of professional event coordination experience
  • Demonstrated track record of successful event planning and execution
  • Strong negotiation and vendor management capabilities
  • Exceptional multitasking and problem-solving skills
  • Proficiency in Microsoft Office and event registration platforms
  • Availability to work in a hybrid setup at Stamford, CT or New York, NY office
  • Willingness to travel up to 25% of the time and work outside normal hours

Job Qualifications

Job Duties

  • Coordinate end-to-end planning of events including conferences, training sessions, corporate meetings, and dinners
  • Develop timelines, run-of-show documents, and detailed logistical plans
  • Lead on-site event execution including setup, vendor coordination, and issue resolution
  • Source, evaluate, and manage relationships with venues and vendors including AV, catering, and travel
  • Negotiate contracts in conjunction with manager and COO ensuring alignment with budget and objectives
  • Manage event registration, RSVP tracking, and attendee communications with marketing
  • Collaborate with executive leadership, assistants, event hosts, marketing, and external partners to align on goals and messaging
  • Support event budget creation, track expenses, and process invoices
  • Deliver post-event reporting including attendance, feedback, and recommendations
  • Oversee onsite event operations ensuring all elements meet quality standards
  • Travel within NYC and tri-state area approximately 25% of the time
