The position of Conference Event Planning Site Lead is integral to Rapport’s operations, focusing on enhancing workplace experience through superior hospitality and concierge services. The role requires a well-rounded individual capable of managing onsite campus operations that span marketing, community engagement, communications, and service coordination. The Conference Event Planning Site Lead will be responsible for overseeing a team of five associates, ensuring smooth execution of special event coordination and outdoor activities. This leadership role demands expertise in corporate office operations, event planning, and service management, as well as strong interpersonal skills to build and maintain relationships with employee occupants and stakeholders.

Key responsibilities include acting as a community liaison between business units, implementing campus initiatives and campaigns, and coordinating events that engage and benefit the employee community. The Site Lead will also be instrumental in creating promotional materials and marketing tools to raise awareness about community programs, amenities, and new procedures. An important aspect of the role is to maintain a clean and well-organized environment by collaborating closely with property management and vendors. The successful candidate will have a clear understanding of issue resolution within the workplace, utilizing a comprehensive contact list covering technology, facilities, and security to promptly address concerns.

The role emphasizes community building through strategic promotion and engagement initiatives, including supporting return-to-office programs and workplace experience enhancements. The Site Lead will also develop concierge services by providing employees with valuable local information related to dining, shopping, and other amenities. Regular quality control walkthroughs will ensure that all programs maintain high standards of excellence, and the creation and monitoring of engagement metrics will track the success and value of all campus activities.

Job Requirements

Job Duties

  • Form relationships with key personnel, stakeholders, BU leadership and functional leads across Corporate Services
  • Work as community liaison for business units to implement campus initiatives, projects, campaigns, and the coordination of building-wide and BU specific events
  • Create site and service road shows to help familiarize new employees with the working and amenity environment
  • Enhance the community environment by projecting organization and cleanliness, work closely with Property Management and vendors ensuring excellence
  • Resolve workplace issues by maintaining a main contact list for technology, facilities, and security
  • Develop and implement community promotion and engagement strategies for the campus
  • Plan and coordinate community events to support return-to-office initiatives and workplace experience programming
  • Contribute to marketing tools to raise awareness of promotions, new amenities, or procedures
  • Develop concierge services providing information about local features, dining, and shopping
  • Conduct quality control walkthroughs to address and pre-empt issues
  • Create metrics to monitor and measure program engagement and value
