The role of Workplace Concierge at Gensler’s Austin office is pivotal in maintaining the company’s values of hospitality, professionalism, and exceptional client service. As the first point of contact for clients, visitors, vendors, and staff, the Workplace Concierge is responsible for providing a welcoming atmosphere and ensuring a seamless experience for everyone entering the office. This in-person position demands a friendly yet professional demeanor, superior communication skills, and the ability to multitask efficiently. The Workplace Concierge supports a range of administrative, operational, and event-related activities including greeting guests, managing front desk communications, coordinating meetings and events, handling vendor interactions, and maintaining office organization.

These responsibilities also involve budget management for events, working closely with leadership and the Executive Assistant.

This includes ensuring the lobby and conference areas are tidy and inviting, overseeing kitchen and coffee supplies, managing grocery orders, and conducting regular cleanouts of communal spaces. Job Duties
- Answer and direct incoming calls via Microsoft Teams

- Greet and assist all guests, notifying appropriate staff of their arrival

- Receive and manage vendor samples and deliveries
- Process parking validations for clients and visitors
- Collect and distribute mail daily
- Coordinate setup and cleanup for internal and external meetings including Lunch and Learn Events
- Support vendor presentations and events in the lobby area
- Lead bi-monthly all-staff meeting setup including catering and furniture arrangement
- Provide support and coordinate external events including Bonus Day and the Holiday Party
- Manage and track event budgets with leadership oversight
