The Workplace Concierge role at Gensler's Austin office is a vital position that embodies the company's values of professionalism, hospitality, and exceptional client service. As the first point of contact, the Workplace Concierge serves as the welcoming face for clients, vendors, job applicants, new hires, and staff, ensuring that everyone who enters the office experiences a smooth, positive interaction. Responsibilities extend beyond basic receptionist duties; the Workplace Concierge is entrusted with essential tasks such as answering calls via Microsoft Teams, greeting and assisting visitors, managing deliveries and vendor interactions, coordinating interview schedules and new hire orientations, and handling parking validations. Supporting internal and external events, including all-staff meetings, lunch and learns, and company celebrations like Bonus Day and the Holiday Party, are also key components. The Concierge manages event budgets collaboratively with leadership and supports the overall office atmosphere by maintaining clean and welcoming spaces, stocking kitchen supplies, and managing calendars and newsletters.

The ideal candidate will bring 3-5 years of experience in luxury hospitality or front desk services, demonstrating strong multitasking, communication, and interpersonal skills. Proficiency with the Microsoft Office Suite and platform tools like Teams is essential. Job Duties

  • Answer and direct incoming calls via Microsoft Teams

  • Greet and assist all guests
  • notify appropriate staff of arrival
  • Welcome job applicants and coordinate interview logistics
  • Welcome new hires and facilitate office tours
  • Receive and manage vendor samples and deliveries
  • Process parking validations for clients and visitors
  • Collect and distribute mail daily
  • Coordinate setup and cleanup for on-site meetings and events
  • Support vendor presentations
  • Lead bi-monthly all-staff meeting setup
  • Provide support and coordination for external events
  • Manage and track event budgets
  • Maintain tidy and welcoming lobby and conference rooms
  • Oversee kitchen and coffee inventory
  • Restock refreshments and snacks
  • Conduct weekly refrigerator cleanouts
  • Place weekly grocery orders
  • Manage office calendars and event schedules
  • Compile and distribute weekly newsletters
  • Assist with administrative tasks and special projects
  • Provide support to staff, clients, consultants, and vendors with inquiries
