Job Duties

  • Serve visitors by greeting, welcoming, directing and announcing them appropriately
  • Answer, screen and forward any incoming phone calls while providing basic information when needed
  • Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges, etc.)
  • Anticipate team member and guest needs before they arise using relevant information collected about members to enhance and personalize their experience
  • Periodically inspect common area equipment to ensure good operating condition
  • Update appointment calendars and schedule meetings/appointments
  • Perform other clerical receptionist duties such as filing, photocopying, collating, faxing, mail sorting, package handling, etc.
  • Ensure that supply stations and first aid kits around the office remain well stocked
  • Determine standard supplies and information to be maintained at the reception areas, in the pantries and within other common areas
  • Assist with the food and beverage program by alerting the proper vendors of any issues with inventory or service issues that may arise
  • Accept and forward mail/deliveries and assist with directing large deliveries as needed
  • Support matters relating to desk assignments within our desk booking system
  • Assist with event food set up and take down when needed for any large meetings
  • Follow up with team members who have submitted workplace tickets
  • Act as an extension of and assist in the Workplace Services mission of making our client site the best place to work
  • Complete special projects as needed for the Workplace Services team
  • Provide personal services to employees and visitors including but not limited to: arranging, booking and confirming recreational, dining, and/or business activities, arrangement of transportation & travel arrangements, tickets and entertainment activities, storytelling & campus tours, meal & activity reservations, coordinate car detailing & on-site car refueling, laundry & dry cleaning services, gift & package orders and other amenity services as needed
  • Ensure reception waiting areas are tidy, well stocked and welcoming
  • Liaise with in-building, third party cleaning companies to ensure space is kept up to standards
