As a Welcome Center Representative, you will play a crucial role in the front-line service team by assisting Mini-Vac clients with their check-in process and supporting the coordinated efforts required to manifest and manage OPC tours. This role is vital to maintaining smooth operations and excellent communication flow among guests, the service team, and various departments within the company. You will be responsible for booking, modifying, and servicing reservations, ensuring each guest is qualified and confirmed for their scheduled presentation or tour. Accuracy and timeliness are key, as you will report tour reconciliations and other essential data to relevant departments regularly throughout the day.
Your role goes beyond administrative tasks; you will serve as a local expert providing guests with valuable information about their hotels and the surrounding area, enhancing their overall vacation experience. The Welcome Center Representative also facilitates the sales of additional services and tickets, such as Busch Gardens and Scuppers tickets, aimed at enriching guests' vacations and driving revenue for the company. Exceptional communication skills and attention to detail are required to address customer inquiries, handle special needs, manage no-shows or rescheduling, and ensure a warm and professional greeting for all arriving guests.
This position offers a flexible open availability schedule with hours from 7:30 AM to 9:30 PM, including weekends and holidays, emphasizing the company’s dedication to meeting guest needs during peak times. Job Requirements
- Open availability between 7:30 am and 9:30 pm including holidays and weekends
- Ability to work in a fast-paced hospitality environment
- Strong verbal and written communication skills

Job Qualifications
- High school diploma or equivalent
- Previous customer service experience preferred
- Strong communication and interpersonal skills
- Ability to multitask and handle a fast-paced environment
- Basic computer skills and proficiency with reservation software
- Sales experience is a plus
- Ability to provide excellent guest service and problem-solving
Job Duties
- Book, modify and service reservations for guests and communicate effectively
- Confirm and qualify each incoming guest for their presentation
- Report on tour reconciliations throughout the day to appropriate departments
- Reschedule any missed or no-show Mini-Vac tours
- Answer questions from owners or non-owners concerning their reservations
- Address special needs that owners and non-owners may have
- Greet non-owners and guests upon arrival for their vacation
- Review qualifications with guests at booking, confirming and check-in
- Provide guests with local information and hotel area maps
- Sell Busch Gardens and Scuppers tickets along with any other tickets that enhance guests’ vacations
- Report on arrivals, no shows, tour invites, late arrivals, and daily room and in-house booking activity daily
