The role of Concierge at Provincial Senior Living is critical to maintaining the welcoming and efficient environment of their communities. This position serves as the initial point of contact for residents, visitors, and employees, providing courteous and professional reception services. The Concierge handles telephone answering and reception duties, manages internal and external calls, takes clear messages, and provides general information. This position requires a high level of interpersonal skills as it involves greeting and assisting residents and guests, answering inquiries, and directing visitors appropriately.

Beyond greeting and communication responsibilities, the Concierge coordinates various administrative tasks to support community operations. These include preparing meal tickets and tallying meal counts, updating resident directories and move-in/move-out logs, managing appointment scheduling for residents such as hairdresser visits and transportation arrangements, and distributing mail to residents and key staff members. Maintaining a neat and organized desk and entry area is also essential in creating a positive first impression for all who enter the community.

  • One to three years customer service experience and/or training

Job Duties

  • Carries out telephone answering and reception duties as required
  • Takes complete messages with pertinent information and communicates messages to the intended recipient
  • Greets residents and visitors
  • Answers inquiries and gives directions
  • Collates brochures for the marketing department
  • Prepares meal tickets for team members and family members, tallies meal count sheets for the Dining staff
  • Updates the Resident Phone List and Roster and Move-In and Move-Out Register daily
  • Guest and Sign-In Logs as necessary
  • Manages appointments for residents and family members such as but not limited to hairdresser, transportation, etc
  • Maintains and keeps desk and entry area neat and organized
  • Organizes, distributes mail to residents, Executive Director and Department Coordinators
  • Maintains resident forms for miscellaneous credits
  • Maintains adherence to all company personnel policies and established operating policies and procedures
  • Other duties as assigned
