We are currently expanding our team by seeking Lead Wedding Coordinators based in Virginia who are passionate about the wedding industry and eager to play a pivotal role in crafting unforgettable celebrations. This role is ideal for individuals looking to grow their career in wedding planning. As a contract position, it offers the flexibility to choose your own schedule, making it suitable for planners who desire autonomy while engaging in rewarding work. Training is provided to ensure you are fully equipped with the knowledge and skills necessary to excel. The pay structure is project-based, providing $350 for a total of 10-12 hours per wedding, making it a lucrative opportunity for driven coordinators ready to take charge of wedding day execution.
The Lead Wedding Coordinator will act as the primary planner and on-site advocate for the couple, working in close collaboration with client experience managers during the planning stages and assistant coordinators during the event. You will be responsible for managing and overseeing multiple facets of the wedding day—from conducting final detail calls around six weeks before the event to facilitating the ceremony rehearsal. Your role involves ensuring that every element aligns perfectly with the couple’s expectations and that the event design is flawlessly implemented.
Key responsibilities include managing vendor arrivals, coordinating setup, directing the flow of the ceremony and reception, and serving as the main point of contact on the wedding day. This position requires a calm, solution-oriented approach capable of handling last-minute changes and challenges to ensure a smooth, joyful experience for the couple and their guests. Additionally, you will assist with the placement of personal details and décor, provide guidance and timing for the wedding party, and ensure all end-of-event items are packed and accounted for. Job Duties
- Attend a final details call with clients approximately 6 weeks prior to the wedding to confirm logistics, timeline, and expectations
- Lead and facilitate the ceremony rehearsal on the day prior to the wedding, ensuring all participants are confident in timing, processional flow, and key cues
- Serve as the primary advocate for the couple onsite, maintaining a calm, solutions-focused presence and supporting them through any challenges that arise
- Oversee ceremony and reception setup in alignment with the event design and day-of execution playbook
- Manage full wedding day execution from initial vendor arrival through final breakdown at the end of the evening
- Greet, direct, and act as the main point of contact for all vendors
- Communicate setup instructions clearly to vendors to ensure alignment with the event plan
- Coordinate and assist with placement of personal and event details including escort cards, menus, table numbers, favors, guest book, and décor elements
- Support the wedding party and family members with guidance, timing cues, and any day-of needs
- Ensure all end-of-event items such as gifts, guest book, personal décor are properly packed and accounted for
- Proactively manage and resolve any issues or last-minute changes to maintain a smooth guest experience
