The role of the Wedding/Event Planning Manager at Woodcliff Hotel plays a vital part in maintaining and elevating the hotel’s reputation for outstanding service and event management. This position is designed for a dynamic and service-oriented professional who excels in coordinating, planning, and executing weddings and other events with precision and customer-centric focus. The manager will be responsible for driving business growth by identifying new accounts, securing bookings, and ensuring client satisfaction through tailored event planning services. Strong communication, negotiation, and organizational skills are crucial in this role, as is the ability to multitask and manage a fast-paced workload.

The Wedding/Event Planning Manager will also collaborate closely with sales, catering, and other hotel departments to coordinate event details ranging from menu planning to table arrangements and decorations, ensuring seamless delivery on the client’s vision. The role includes developing a client base through direct sales efforts, conducting hotel and banquet facility tours, and delivering proposals that align with hotel revenue goals. By staying informed of local competitors, the manager can advise leadership on market trends and contribute to strategic planning and budgeting activities.

Job Requirements

  • High school diploma or GED
  • Minimum of 3 years in hotel or conference catering/sales
  • Ability to communicate effectively verbally and in writing
  • Strong negotiating skills
  • Strong computer skills
  • Flexible work hours including evenings, weekends, and holidays
  • Ability to exceed guest and team member expectations

Job Qualifications

  • High school diploma or GED
  • Bachelor’s degree preferred
  • Minimum of 3 years in hotel or conference catering/sales
  • Excellent verbal and written communication skills
  • Strong negotiating skills
  • Proficient computer skills
  • Ability to communicate effectively and listen actively
  • Problem-solving ability
  • Experience in event planning or management preferred
  • Ability to work flexible hours including evenings, weekends, and holidays

Job Duties

  • Establishing a client base of organizations, associations, and corporate businesses through direct sales efforts to secure business for the hotel
  • Negotiating food and beverage, function space, room rates, and hotel services to meet or exceed hotel revenue goals
  • Achieving all predetermined sales goals for revenue and sales activity
  • Negotiating contracts according to company standards and ensuring all pertinent aspects of solicitation, closing, and customer communications are complete and documented
  • Accurately recording all bookings or lost business for the hotel and completing daily/weekly/monthly reports as directed by the DOS/GM
  • Conducting tours of the hotel and banquet facilities and entertaining qualified potential clients in accordance with company and property policies and procedures
  • Providing prompt and accurate responses to all client requests for proposals and information
  • Assisting clients in menu planning and coordinating food, beverage, table arrangements, and decorations to ensure client details are executed
  • Monitoring local competitors and comparing their operation with ours
  • Maintaining existing accounts with an active trace/follow up system
  • Participating in Quarterly/Annual Business and Marketing Plans and assisting with the budget process
  • Performing various other duties as assigned to meet business objectives
