Settlers Hospitality is a renowned hospitality management company known for its excellence in providing premier event spaces and accommodations. Specializing in hosting a broad range of occasions, from business meetings and bus groups to weddings and social gatherings, Settlers Hospitality Group manages properties that offer versatile venues equipped to fulfill various event needs. Their commitment to quality service and customer satisfaction has established them as a leader in the hospitality industry. Employees at Settlers Hospitality work in an innovative, supportive environment that values professionalism, attention to detail, and client-oriented services.
The Wedding and Event Coordinator role at Settlers Hospitality is critical to the seamless organization and successful execution of both on-site and off-site events managed by the company. This role involves collaborating closely with the Director of Catering and Director of Sales to ensure a smooth transition from client booking through event completion. The coordinator is responsible for managing the intricate details of corporate functions, group events, weddings, and social parties, handling everything from initial client contact to final billing. This position requires a person who is highly professional, personable, and excels in verbal and written communication. The coordinator must be adept at multitasking, well-organized, and capable of addressing client needs promptly under pressure.
Ideal candidates possess a degree or have completed coursework in event planning management or related fields and bring one to two years of progressive experience in event coordination or a similar role. Computer literacy, familiarity with the internet, and strong numerical skills are necessary for managing contracts, billing, and event logistics efficiently. The role demands flexibility, including availability for various shifts covering mornings, afternoons, evenings, nights, weekends, and holidays. This ensures the coordinator can oversee events that may happen at any time and maintain high standards of service delivery throughout.
The coordinator’s responsibilities stretch beyond event planning to include upselling services such as floral arrangements, lodging, team building activities, and other experiential offerings that enhance the client’s event experience. They serve as the primary point of contact for clients, ensuring clear communication and detailed documentation of guest counts, menu options, décor requests, and timelines. Working with service staff and event captains, the coordinator helps guarantee the proper setup, smooth event flow, and thorough cleanup. Billing oversight and contract management also fall within the purview of this position, requiring meticulous attention to detail to ensure all event aspects are accurately tracked and invoiced timely.
This role is ideal for a motivated, problem-solving individual with strong leadership qualities who thrives in a fast-paced environment. The Wedding and Event Coordinator at Settlers Hospitality is integral to maintaining client relations, encouraging repeat business through excellent service and attention to detail, and contributing to the overall success and reputation of Settlers Hospitality’s event offerings. They must possess a calm demeanor capable of handling last-minute changes and requests professionally, ensuring every event is executed flawlessly. Overall, this is an excellent opportunity for an aspiring or experienced event professional to grow within a prestigious company that values dedication and quality service.
