The Wedding and Event Coordinator position at Edgewood Tahoe plays a pivotal role in ensuring that every event runs smoothly and surpasses guest expectations. Often the first point of contact for potential clients, the Coordinator embodies professionalism and a proactive approach to handling client requests promptly and accurately. Serving as the communication hub for the internal team as well as external vendors and planners, this position demands exceptional organizational and interpersonal skills. The Coordinator acts as a liaison between the couple, planners, vendors, and service providers, facilitating seamless collaboration throughout the planning process. This role balances administrative duties with customer-facing interactions and hands-on event support.
Day-to-day responsibilities include preparing contracts, event orders, payments, and permits, ensuring all documentation is thorough and precise. The Coordinator must maintain up-to-date knowledge of departmental policies, service procedures, and standards while responding to client inquiries via phone and email in alignment with Edgewood Tahoe’s high standards. They evaluate leads to qualify potential clients and coordinate site visits, often leading these tours to showcase the resort’s event spaces and amenities. The position requires proficiency in using software such as Microsoft Word, Excel, Delphi, and Outlook to prepare correspondence, estimates, and event documentation.
On event days, the Wedding and Event Coordinator provides vital logistical support to ensure seamless execution. This includes managing banquet event orders, distributing event details to relevant departments, and supporting the operations team during the event. The ideal candidate thrives in a fast-paced environment, adeptly handling multiple guest and operational demands while maintaining professionalism under pressure. Job Requirements
- high school diploma or equivalent
- 2+ years of administrative and customer service experience
- prior experience in food service or hospitality industry preferred
- proficiency in Microsoft Word and Excel
- experience with Delphi and Outlook preferred
- physical ability to walk 5 miles in a day and lift up to 50 lbs
- excellent communication skills
- ability to multitask effectively under time-sensitive deadlines
Job Qualifications
- 2+ years administrative and customer service experience
- prior experience in the food service or hospitality industry
- proficiency in Word and Excel
- experience with Delphi and Outlook strongly preferred
- proven track record of relationship building to provide a high level of service

Job Duties
- maintain complete knowledge of and comply with all departmental policies, service procedures and standards
- respond to inquiries via phone and email in accordance with Edgewood Tahoe standards
- evaluate leads and transfer to wedding and event managers once qualified
- maintain knowledge of hotel facilities, capacities, and dimensions of event spaces
- attend and/or lead site visits as requested
- prepare accurate written correspondence including letters, contracts, reports, banquet event orders, printed menus and emails using MS Word and Delphi
- prepare estimates and alert wedding event manager to discrepancies with fee schedule
- prepare and distribute wedding and event services correspondence to the operating departments as required
- maintain wedding and event services file systems, both electronic and paper, including Outlook calendar, account files, vendor resource files and resumes
- support the logistics of weddings and events day of as scheduled
- prepare billing audit packages for review by accounting
- plan and/or attend and/or participate in meetings with hotel staff and clients
- prepare reports as requested by director of catering
- perform other duties as assigned
