The role of Venue Planner at Folino Estate Winery is a pivotal position within the banquet sales and venues team. This full-time position involves comprehensive administrative assistance, detailed planning, and accurate accounting processing related to weddings, banquets, and other events. The Venue Planner will coordinate all activities surrounding the assigned events from inception through the day of execution. This role demands an individual who can thrive in a fast-paced, dynamic environment, juggling multiple responsibilities efficiently and maintaining a high standard of customer service. The Venue Planner is the primary point of contact for clients, ensuring clear and timely communication, which leads to exceptional guest satisfaction. This professional will use CRM systems to manage event details and assist with package options for food, beverages, and event setup. They will also work closely with vendors and internal teams such as the Front of House staff and banquet managers to ensure flawless event operations. From managing bridal tastings, securing vendor insurance, to following up with clients for feedback and reviews, the Venue Planner’s duties cover every facet of event coordination. This role requires excellent organizational skills, keen attention to detail, and the ability to multi-task under pressure. Job Qualifications

Minimum one year of event planning experience
Preferred one year of event planning experience
Preferred three years of customer service experience

Job Duties

Work as a team on all guest events throughout the planning process and day of activities
Friendly, expeditious and consistent communication with clients
Record precise details into a CRM system including Total Party Planner and floor diagrams
Lead guests through package choices of food, beverages, set-up, and timeline oversight from start to finish
Recommend package enhancements to maximize revenue and provide exceptional client and guest experience
Plan and assist with executing group bridal tastings
Greet the host and answer questions on the day of the event
Adhere to financial structure and payment timeline including final payment 14 days prior to event
Secure limited liability insurance forms from vendors
Attend BEO meetings with FOH staff
Coordinate and oversee day of events reviewing all details
Develop and maintain exceptional relationships with clients and vendors
Follow up with clients for feedback, online reviews, and promotional photos
Maintain continuous communication with the Banquet Manager
Promote a positive atmosphere as a team player
Communicate effectively with guests, vendors, co-workers, and management
Collaborate with FOH including banquet manager and Chef to execute events seamlessly
Cross-train with sales team to ensure consistency across sales, coordinating, and day of phases
Step in to lead tours and assist with Venue Sales Associate if needed
Exceed customers' expectations with knowledge and genuine service
Meet and greet clients promoting facilities and services
Provide accurate and timely reporting
Maintain good relationships within the community including vendors, DJs, photographers, and videographers
Attend department and managerial meetings
