The role of Clinic Assistant at the University of Miami is a full-time staff position that plays a vital role in supporting patient care unit operations through various clerical and administrative duties. Those employed in this capacity will be central to the smooth functioning of the clinical environment by managing patient records, scheduling lab work and hospital admissions, processing patient charts, and performing essential follow-up communications with patients. A key responsibility involves maintaining the confidentiality of patient information while ensuring that clinical records are accurate and complete, aligning with hospital policies. The position demands proficiency in transcribing doctors' orders, analyzing patient charts for missing information, and alerting the healthcare team to any discrepancies that need correction.

In addition to managing records, the Clinic Assistant is responsible for ordering and maintaining the unit’s inventory of supplies, assisting with the receipt and distribution of supplies, and ensuring inventory levels are sufficient to meet operational demands. The role includes obtaining laboratory and imaging reports and promptly notifying medical staff of results, which is crucial to efficient patient care. Utilizing specialized systems such as IDX RIS/PACS to monitor patient arrivals and communicate delays helps optimize the daily schedule and enhances the overall patient experience.

Customer service skills are also essential as the Clinic Assistant greets patients, verifies their information upon arrival, and guides them through preparatory steps for exams such as changing into gowns and removing metal items as necessary. Administrative support also extends to copying and distributing patient paperwork, helping to maintain organized and efficient operational workflows.

Job Duties

  • maintains confidentiality of patient information
  • assembles, completes, and processes patients’ charts
  • keeps patient records accurately identified
  • maintains an accurate clinical record, recording information per hospital policy
  • transcribes doctors’ orders, checks charts for incomplete histories and operative summaries, and reports any issues to appropriate member of the healthcare team for correction
  • orders unit supplies to maintain inventory of equipment and supplies
  • assists with receiving, distributing, and sorting supplies brought to the unit
  • obtains laboratory and x-ray reports and notifies doctors of results
  • utilizes IDX RIS/PACS to track patient arrival times and advises front desk personnel of patient delays to maintain daily schedule
  • greets patients upon arrival and verifies patient information
  • directs patient to the dressing room and ensures patient changes into a gown and removes all metal items from their person
  • assists in copying completed patient paperwork, delivering originals to front desk, and distributing copies to appropriate reading rooms
  • adheres to university and unit-level policies and procedures and safeguards university assets
