The Tradeshow and Meeting Planner position at Roxtec, based in Tulsa, OK, is a vital role within the company’s marketing and event coordination team. This full-time role centers on the comprehensive planning and execution of a variety of events including tradeshows, conferences, corporate meetings, and hospitality functions. The successful candidate is responsible for managing all aspects of event logistics from selecting venues and coordinating vendor relations to ensuring the seamless operation of events themselves. Collaboration with the marketing team is critical to promoting engagements effectively and achieving high attendance rates. Frequent travel is inherent to this position, encompassing both domestic and international trips to attend trade shows, conferences, and corporate meetings, including training sessions at Roxtec’s corporate headquarters in Sweden.
The Tradeshow and Meeting Planner must demonstrate exceptional organizational skills and the ability to handle multiple events concurrently. Responsibilities include managing event registrations, overseeing exhibit booth materials, facilitating team building activities and hospitality events, and ensuring marketing displays represent Roxtec’s brand professionally. This role demands a detail-oriented approach, excellent communication skills, and the aptitude for making independent decisions while maintaining a friendly and solution-oriented demeanor. Proficiency in Microsoft Office Suite, especially Excel, Word, PowerPoint, and Outlook, is essential for managing schedules, registrations, and reporting. The ideal candidate will hold a Bachelor’s degree or equivalent experience in event planning, marketing, or a related field, coupled with a readiness to thrive in a dynamic, fast-paced environment. This role is physically active, requiring standing, walking, occasional lifting and carrying of items weighing up to 50 pounds, as well as occasional bending and reaching. Job Duties

- order booth materials and coordinate packing and shipping
- organize and coordinate meetings, events, and parties including food, beverage, travel, and hotel accommodations
