The Arthur R. Outlaw Mobile Convention Center, the venue at which the available Event Manager role is based, is a vibrant and architecturally award-winning 317,000-square-foot facility located in the heart of downtown Mobile, Alabama. Renowned for its stunning waterfront setting and extensive use of glass windows affording magnificent views of the Mobile River, this facility boasts 16 meeting rooms, two ballrooms, and two exhibit halls totaling 100,000 square feet of flexible event space. Its close proximity to hotels, restaurants, shops, nightlife, and cultural attractions like museums and parks ensures a robust and appealing environment for event attendees and clients alike.

The Event Manager position at OVG’s Mobile Convention Center is a full-time role with an annual salary in the range of $50,000 to $55,000. The successful candidate will be integral to the planning, management, and execution of a diverse variety of events including conferences, trade shows, meetings, exhibitions, social events, and special projects. This role demands a professional who can develop detailed event operational plans, manage setup activities, design floor plans and cost estimates, and oversee the construction of exhibits and event displays.

Key to success in this position is the ability to coordinate with numerous internal and external stakeholders such as Sales, Marketing, Facility Operations, Security, Finance, Human Resources, Venue Partners, and other stakeholders to strategically plan and execute all aspects of event delivery and logistics. The Event Manager must excel in acquiring, assembling, and distributing event-related information to clients, vendors, and the event team, ensuring meticulous coordination from pre-event meetings to on-floor event management.

This role requires leadership in managing event personnel, fulfilling clients’ expectations for event services, and guaranteeing safety and emergency procedures are communicated and followed. The Event Manager will oversee the effective use of event records systems, handle budget oversight, maintain vendor relationships, conduct pre-event, during-event, and post-event walkthroughs, and assist clients in understanding contract provisions and venue policies. Exceptional customer service skills and communication are paramount to provide a seamless and successful event experience.

Additional responsibilities include managing event change orders, timely preparation of post-event financial settlements, and contributing to the overall continuous improvement of the venue’s event management practices. Proficiency with Microsoft Office Suite and event management software like Ungerboeck, Social Tables, AutoCAD, or Vector is expected. Certification as a Meeting Professional (CMP) is a plus but not mandatory. A valid driver’s license or the ability to obtain one is required.

Job Duties

  • Acts as the central contact during all phases of event management for clients and contractors
  • receives, assembles, and distributes event information via resumes to the team
  • provide leadership and guidance for event personnel
  • oversees and manages all event-related services provided by the venue
  • ensure team members and clients are familiar with safety and emergency procedures
  • coordinate and utilize the event records management system
  • works with team members to develop and maintain a positive customer service level
  • handles coordination of events with respect to Event Work Orders and Change Orders
  • ensure compliance with building policies, procedures, and regulations
  • provides on-floor management of event-related services
  • set up and coordinate primary and pre-event meetings
  • provides complete schedules and records of show activities
  • manage budget and maintain vendor relationships
  • conduct pre, during, and post walkthroughs for setup and safety
  • guide clients on contract provisions, policies, and procedures
  • provide exceptional client service
  • communicate daily with clients on event logistics
  • ensure daily post reports during load-in, event days, and load-out
  • proficient in forecasting, financial and database management for event estimates
  • prepare post-event settlements
  • perform other duties as assigned
