The Event Manager role at Oak View Group, located at the Mobile Convention Center in Mobile, Alabama, is a full-time position with an annual salary ranging from $50,000 to $55,000. This role is pivotal in orchestrating the planning and execution of a diverse range of events including conferences, trade shows, meetings, exhibitions, social events, and special projects that align with the company’s business objectives. The Event Manager will play a crucial role in developing and managing comprehensive event operation plans covering setup tasks, floor plans, and budget estimates. In this capacity, the Event Manager will be expected to rapidly develop a comprehensive understanding of the Mobile Convention Center’s facilities, convention services operations, and partner services essential for the successful execution of events. Collaboration is a key aspect of the role, requiring close coordination with several internal departments such as Sales, Marketing, Facility Operations, Security, Finance, Human Resources, Venue Partners, and various stakeholders. The role demands a proactive approach in client relationship management, acting as the central point of contact throughout all phases of event management to provide clear communication and coordination among clients, contractors, and internal teams. Leadership skills are essential in guiding event personnel while maintaining a high customer service level. The Event Manager is also responsible for enforcing safety and emergency procedures, managing event records and documentation, and facilitating smooth execution on event days including vendor coordination and financial oversight.

Proficiency in budget management, forecasting, financial controls, and event estimate preparation is critical, along with the ability to conduct thorough pre-event, during-event, and post-event walkthroughs to guarantee venue preparedness, adherence to safety protocols, and overall client satisfaction. Furthermore, the Event Manager will prepare post-event settlements in collaboration with the finance department to close the event lifecycle efficiently. The role also involves using specialized event management and design software such as Ungerboeck, Social Tables, AutoCAD, and Vector to optimize event planning and execution.

  • Bachelor's degree from a four-year college or university
  • 3-5 years of event management experience or related industry experience
  • Working knowledge of principles of facility management, services, and equipment

Job Duties

  • Acts as the central contact during all phases of event management for clients and contractors
  • Receives, assembles, and distributes event information to team members
  • Provide leadership and guidance for event personnel
  • Oversees and manages all event-related services provided by the venue
  • Ensure team members and clients are familiar with safety and emergency procedures during events
  • Coordinate and utilize the event records management system for all phases of event planning and operation
  • Works with team members to develop and maintain a positive customer service level
  • Handles coordination of events with respect to Event Work Orders and Change Orders
  • Ensure all clients and contractors are familiar with building policies and regulations
  • Provides on-floor management of center event-related services
  • Set up and coordinate all primary and pre-event meetings
  • Provides complete schedule and records for all show-related activity onsite
  • Experience with budget management and maintaining vendor relationships
  • Conduct pre, during, and post walkthroughs to ensure cleanliness and safety
  • Guide clients in event preparation by explaining contract provisions
  • Provide exceptional service to ensure successful events
  • Communicate constantly with clients for event logistics
  • Ensure daily post reports are sent during load-in, event days, and load-out
  • Proficient in forecasting, financial management, and database management
  • Prepare post-event settlement with the finance department
  • Perform other duties as assigned
