Oak View Group, a leading venue management company, is seeking a dedicated Event Coordinator to join their team full-time at The Baylor Club located in Waco, Texas. The Event Coordinator position based at The Baylor Club entails overseeing all aspects of events hosted at the venue, facilitating smooth execution from planning through to completion. This role includes an hourly wage ranging from $20.00 to $24.00, reflecting the importance and complexity of managing diverse event requirements. The successful candidate will be responsible for collaborating with promoters, sports teams, and operators to ensure every event is delivered with precision, adhering to client and operational needs.
The responsibilities of the Event Coordinator are comprehensive and vital to the seamless operation of the venue. Key tasks involve developing security staffing plans, managing labor, collecting and disseminating event information, assisting with billing preparations, and representing customer service to guests. The position requires meticulous attention to detail and proactive communication with various departments including the Box Office and Operations teams to generate accurate event seating plans and setup requirements. This role also includes post-event reporting to assess outcomes and plan for future improvements.
As a central figure in event execution, the coordinator works closely with facility sports tenants to gather and distribute game-specific requirements, helping to coordinate tenant events effectively. Working directly with promoters and agents to facilitate client needs is a core function, often involving cost estimate preparations and supporting event settlements. Flexibility in working hours, including evenings, weekends, and holidays, is expected to accommodate the varying schedule of events. Job Requirements
- 4-year degree from a college or university preferred
- 1 year experience same or similar position in arenas, convention centers, stadiums or theaters preferred
- Ability to work flexible and sometimes demanding schedules including nights, weekends, holidays and extended hours
- Experience with Microsoft Office products, CAD, and Ticketmaster ticketing software preferred
- Previous experience with event settlements a plus

Job Duties
- Advance each show/event with an appropriate show/promoter representative in a timely fashion
- Communicate all event information to the appropriate departments and staff
- Develop accurate event seating information with the Box Office Manager and Operations Manager and ensure that event set-ups are accurate
- Communicate in a timely manner with each Department Head regarding specific needs and information for each event
- Prepare and distribute the Event Data Sheet to all staff and departments in a timely manner
- Prepare post-event reports for all events coordinated
- Meet with facility sports tenants to collect and distribute game requirements and coordinate efforts to produce tenant events
- Work with promoters and agents to coordinate and facilitate client needs for each event and provide cost estimates as required/requested
- Preparation of and submission of expenses for event settlement
- Attend settlement if required
- Execute other operational duties as assigned
