The Event Coordinator role at The Baylor Club is a highly integral position within the venue’s operations team. This full-time position pays an hourly rate ranging from $20.00 to $24.00 and is designed for candidates who are passionate about event management and customer service. The role focuses on overseeing and coordinating all aspects of events held at the venue to ensure smooth execution and high-quality guest experiences. Responsibilities include managing security staffing plans, labor coordination, interacting with promoters, show representatives, and sports teams, and handling billing and event-related logistic support. This role requires strong organizational skills, clear and timely communication with multiple departments, and the ability to handle complex event needs efficiently.
An Event Coordinator is instrumental in advancing each event by collaborating with promoters and internal departments to guarantee that all event setups are accurate, logistical challenges are addressed, and all stakeholders are well-informed. The coordinator is also responsible for preparing and distributing detailed event data sheets and conducting post-event reporting to evaluate event success and identify areas for improvement.

Job Requirements
- Four-year degree from a college or university preferred
- Minimum one year experience in same or similar position in arenas, convention centers, stadiums or theaters preferred
- Ability to work flexible and sometimes demanding schedules including nights, weekends, holidays and extended hours
- Experience with Microsoft Office products, CAD, and Ticketmaster ticketing software preferred
- Previous experience with event settlements a plus
Job Qualifications

Job Duties
- Advance each show/event with an appropriate show/promoter representative in a timely fashion
- Communicate all event information to the appropriate departments and staff
- Develop accurate event seating information with the box office manager and operations manager and ensure that event set-ups are accurate
- Communicate in a timely manner with each department head regarding specific needs and information for each event
- Prepare and distribute the event data sheet to all staff and departments in a timely manner
- Prepare post-event reports for all events coordinated
- Meet with facility sports tenants to collect and distribute game requirements and coordinate efforts to produce tenant events
- Work with promoters and agents to coordinate and facilitate client needs for each event and provide cost estimates as required/requested
- Prepare and submit expenses for event settlement, attend settlement if required
- Execute other operational duties as assigned
