The Baylor Club in Waco, Texas, operated under Oak View Group’s esteemed venue management division, is seeking a dedicated and skilled Event Coordinator to join their team on a full-time basis. The position comes with an hourly salary ranging from $20.00 to $24.00, reflecting competitive market rates. This role is integral to the successful execution of events within the venue and involves a comprehensive set of responsibilities that require excellent organizational and communication skills.

The Event Coordinator will be primarily responsible for managing all aspects of events held at The Baylor Club. This includes developing and coordinating event-related activities critical to the smooth operation of the facility. The coordinator will handle a wide array of tasks, including maintaining security staffing plans, overseeing labor management, collecting and distributing essential event information from promoters, show representatives, and sports teams, as well as supporting billing preparation and representing the venue in customer service matters. Meticulous attention to detail is a must, as this role ensures every event's logistical needs and departmental activities are aligned and effectively executed.

A typical day for the Event Coordinator involves advancing events by liaising with show promoters in a timely fashion, coordinating with various departments to share event specifics, and preparing detailed event seating plans in collaboration with the Box Office and Operations Managers. The coordinator also prepares and distributes event data sheets and post-event reports to staff and relevant departments, ensuring all parties are informed and any issues are addressed swiftly. Additionally, the role involves meeting with facility sports tenants to gather and disseminate game requirements and working closely with promoters and agents to accommodate client needs, providing cost estimates and managing event settlements when necessary.

To qualify for this position, candidates generally should have at least a four-year degree from a college or university. Experience of one year or more in an equivalent role in arenas, convention centers, stadiums, or theaters is preferred. Familiarity with flexible and sometimes demanding scheduling, including nights, weekends, holidays, and extended hours, is essential due to the nature of live events. Proficiency in Microsoft Office applications is expected, and knowledge of CAD and Ticketmaster ticketing software is considered an added advantage. Prior experience handling event settlements is also beneficial.

Job Duties

  • Advance each show/event with an appropriate show/promoter representative in a timely fashion
  • Communicates all event information to the appropriate departments and staff
  • Develop accurate event seating information with the Box Office Manager and Operations Manager and ensure that event set-ups are accurate
  • Communicates in a timely manner with each Department Head regarding specific needs and information for each event
  • Prepares and distributes the Event Data Sheet to all staff and departments in a timely manner
  • Prepares post-event reports for all events coordinated
  • Meet with facility sports tenants to collect and distribute game requirements and coordinate efforts to produce tenant events
  • Work with promoters and agents to coordinate and facilitate client needs for each event and provide cost estimates as required/requested
  • Preparation of and submission of expenses for event settlement
  • Attend settlement if required
  • Executes other operational duties as assigned
