Located at 1001 S M.L.K. Jr Blvd, The Baylor Club serves as a distinguished event destination, hosting a variety of live performances, sports events, corporate functions, and cultural gatherings. To maintain and elevate the quality of events held at this venue, The Baylor Club is seeking a dedicated full-time Event Coordinator to join their team. This role is integral to the success of their event operations and directly supports the seamless execution of a diverse range of live events.\n\nThe Event Coordinator is responsible for overseeing all aspects of event management within the venue. This includes coordinating event details from a variety of stakeholders such as promoters, show representatives, and sports teams. The role involves developing and managing security staffing plans, handling labor management, gathering and distributing essential event information, coordinating logistics, and serving as a representative for customer service to guests. Strong communication and organizational skills are needed to work collaboratively with multiple departments including Operations, Box Office, and various facility sports tenants.\n\nThis position offers an hourly wage between $20.00 and $24.00 and provides full-time benefits including health, dental, and vision insurance, a 401(k) savings plan with matching, and paid time off inclusive of vacation days, sick days, and 11 holidays. The Event Coordinator will play a pivotal role in maintaining the high standards of event delivery for The Baylor Club and supporting Oak View Group's mission to create exceptional live entertainment experiences. Job Requirements

  • 4-year degree from a college or university preferred
  • 1 year experience same or similar position in arenas, convention centers, stadiums or theaters preferred
  • Ability to work flexible and sometimes demanding schedules including nights, weekends, holidays and extended hours
  • Experience with Microsoft Office products, CAD, and Ticketmaster ticketing software preferred
  • Previous experience with event settlements a plus

Job Duties

  • Advance each show/event with an appropriate show/promoter representative in a timely fashion
  • Communicate all event information to the appropriate departments and staff
  • Develop accurate event seating information with the Box Office Manager and Operations Manager and ensure that event set-ups are accurate
  • Communicate in a timely manner with each department head regarding specific needs and information for each event
  • Prepare and distribute the Event Data Sheet to all staff and departments in a timely manner
  • Prepare post-event reports for all events coordinated
  • Meet with facility sports tenants to collect and distribute game requirements and coordinate efforts to produce tenant events
  • Work with promoters and agents to coordinate and facilitate client needs for each event and provide cost estimates as required/requested
  • Prepare and submit expenses for event settlement and attend settlement if required
  • Execute other operational duties as assigned
