The Baylor Club in Waco, Texas, is currently seeking a full-time Event Coordinator to join its dynamic team. This position reports to the Oak View Group and is responsible for overseeing all aspects of events at the venue located at 1001 S M.L.K. Jr Blvd. The hourly wage for this role ranges from $20.00 to $24.00. The Event Coordinator is essential to ensuring that events run smoothly and successfully by managing event logistics, coordinating with promoters, sports teams, and show representatives, and facilitating communication among various departments.
As an Event Coordinator, you will be tasked with advancing shows and events by working directly with promoters and event representatives to ensure all aspects of each event are accurately planned and communicated. You will collaborate closely with the Box Office Manager and Operations Manager to develop precise event seating arrangements. Your role will also involve distributing event-related information promptly to relevant staff and departments to ensure perfect execution.
Additional responsibilities include managing security staffing plans, labor management, event billing support, and serving as a customer service representative to guests. You will prepare and submit event expense settlements and attend settlement meetings if required. Post-event reports are another key component of your duties, allowing for continuous improvement in event delivery and client satisfaction.
This position demands flexibility in work hours, including availability for nights, weekends, holidays, and extended hours to meet the varied scheduling needs of live events. Experience with Microsoft Office products, CAD software, and Ticketmaster ticketing systems will be advantageous for candidates applying for this role, as will prior experience with event settlements. A background in arenas, convention centers, stadiums, or theaters will be highly valued.

- 4-year degree from a college or university preferred
- 1 year experience in same or similar position in arenas, convention centers, stadiums or theaters preferred
- Ability to work flexible and sometimes demanding schedules including nights, weekends, holidays and extended hours
- Experience with Microsoft Office products, CAD, and Ticketmaster ticketing software preferred
- Previous experience with event settlements a plus

Job Duties
- Advance each show/event with an appropriate show/promoter representative in a timely fashion
- Communicates all event information to the appropriate Departments and staff
- Develop accurate event seating information with the Box Office Manager and Operations Manager and ensure that event set-ups are accurate
- Communicates in a timely manner with each Department Head regarding specific needs and information for each event
- Prepares and distributes the Event Data Sheet to all staff and Departments in a timely manner
- Prepares post-event reports for all events coordinated
- Meet with facility sports tenants to collect and distribute game requirements and coordinate efforts to produce tenant events
- Work with promoters and agents to coordinate and facilitate client needs for each event and provide cost estimates as required/requested
- Preparation of and submission of expenses for event settlement
- Attend settlement if required
- Executes other operational duties as assigned
