The Temporary Receptionist/Administrative Assistant role at the Chicago office plays a vital part in supporting the firm's day-to-day functions by managing office communications, greeting guests, and performing clerical duties to ensure smooth office operations. This role requires handling a variety of routine office tasks such as answering and screening telephone calls, greeting visitors, managing mail and packages, and maintaining conference room bookings. The Receptionist/Administrative Assistant will also assist with office supply orders, coordinate with other office members, and help manage firm resources like the key card system. Job Requirements

Job Qualifications
- High school diploma or equivalent
- at least two years of on-the-job experience in a customer service environment
- proficient in Microsoft Suite products including Email, Word, Excel
- ability to quickly learn other software
- familiarity with office equipment including scanners, postage machine, photocopiers
- excellent customer service and interpersonal skills
- ability to organize and prioritize tasks under time constraints
- ability to follow and convey instructions with courtesy and tact

Job Duties
- Receives and screens internal/external visitors and telephone calls
- notifies appropriate personnel or records messages as needed
- responds to detailed inquiries concerning departmental activities and operations
- receives and oversees packages left at the reception desk and keeps a log of deliveries
- assists other office and firm members as needed
- registers requests for conference rooms or visiting attorney office reservations
- operates standard business equipment such as computer, photocopier, scanner
- processes incoming and outgoing mail and packages
- ensures all conference rooms, copy and coffee stations are neat and stocked
- sets up conference rooms including beverages, catering, and equipment if requested
- maintains and verifies incoming supply orders
- keeps records of requests and calls for Central Services Department
- interacts with management, departments, and external personnel
- coordinates workflow and communication for premises upkeep and repairs
- processes incoming checks and invoices
- generates checks and check requests
- assists with firm’s key card system including creating key cards and maintaining logs
- maintains confidentiality in all client and firm matters
