The Temporary Events Associate role is an exciting opportunity within the Booth School’s Office of Advancement Events Team. This position is designed to provide crucial administrative and programmatic support to the events team, contributing to the seamless execution of events that uphold the school’s esteemed reputation. The term of this position is temporary, expected to last six months, and involves supporting a broad array of events including in-person, virtual, and hybrid formats. As part of the role, the associate will assist with organizing event planning meetings, managing event logistics such as ordering and shipping supplies, and providing onsite support during events. The role also includes learning and utilizing event registration platforms like Cvent and managing alumni data through Phoenix, the alumni database of record. Responsibilities extend to event communications, invoice processing, and budget tracking, among other administrative duties. This position requires excellent organizational skills, attention to detail, and the ability to manage multiple projects simultaneously while maintaining a professional demeanor. The pay rate for this non-exempt, hourly position is $25.00 per hour. Although this position is not benefits eligible, it offers a dynamic work environment at a world-class institution recognized for academic excellence and innovation in business education.

Job Requirements

  • Bachelor’s degree required
  • Minimum of one year event support and coordination experience preferred
  • High proficiency in Microsoft Word, Outlook, PowerPoint, Excel, Zoom, Box, and Google Suite
  • Ability to work a minimum three days per week in the office
  • Availability to work some evening and weekend hours with advance notice
  • Strong verbal and written communication skills
  • Exceptional organizational skills and attention to detail
  • Ability to manage multiple tasks and meet strict deadlines
  • Professional demeanor including tact, discretion, and customer service orientation
  • Self-motivated with personal accountability

Job Qualifications

  • Bachelor’s degree required
  • A minimum of one year of event support and coordination experience preferred
  • High proficiency in Microsoft Word, Outlook, PowerPoint, Excel, Zoom, Box, and Google Suite (Drive, Sheets, Docs, and Forms) required
  • Proficiency working with event registration platform Cvent preferred
  • Familiarity with Salesforce preferred

Job Duties

  • Assist the Office of Advancement Events Team with short-term, long-term, and ad hoc projects
  • Support in-person, virtual, and hybrid events
  • Learn the online event registration system, Cvent
  • Assist in organizing event planning meetings including reserving space, updating and distributing meeting agendas, notes, and other materials
  • Support event logistics including ordering, packing, and shipping event supplies and printing materials such as nametags, briefings, and registration lists
  • Provide onsite assistance at events, as requested
  • Utilize Phoenix, the alumni database of record, to look up, track, and report on event related data
  • Create basic event briefings and event-related communications
  • Support the Events Team with invoices and vendor payments, expenses, and budget tracking
  • Provide pre-event in-office support
  • Other administrative duties as required
