Job Description
The Savannah College of Art and Design (SCAD) is a renowned private university dedicated to preparing talented students for creative professions. The Student Events Coordinator role at SCAD plays a critical part in creating memorable, impactful experiences for both prospective and current students. This full-time position involves meticulous planning and execution of a wide range of student-facing events such as Pre-Bee, Move-in and Welcome Week, Family & Alumni Weekend, Masquerade Ball, SCAD Color Run, Squads Socials, Fête de Lacoste, and other campus events managed by the Office of Student Involvement, SCAD Squads, and Study Abroad programs. Reporting directly to the Director of Involvement Events, the coordinator will manage multiple simultaneous events throughout the academic year, ensuring each activation aligns with SCAD’s mission.
The role requires a highly organized and proactive individual who can develop creative concepts, design décor, create detailed project plans, production timelines, and effectively manage budgets. The coordinator will regularly update leadership on event progress and maintain thorough documentation including photo archives and inventory management of event supplies. Leading event meetings, maintaining open communication with vendors and internal departments, and coordinating marketing efforts are key job functions. Also essential is the ability to work collaboratively with various university departments and city authorities to secure necessary permits and services such as police support, transportation, and security for outdoor or large-scale events.
Key responsibilities extend to overseeing all print, visual media, social media, and web-related requests for assigned events, as well as recruiting, coordinating, and managing event volunteers. The coordinator will also source and manage event entertainment, floral décor, and event giveaways, creating a cohesive and engaging atmosphere representative of SCAD’s values. Financial accountability forms a substantial component of this role, requiring timely completion of purchase requisitions, vendor forms, cost reports, and accurate budget tracking.

Job Duties
- Handle multiple events simultaneously throughout the calendar year
- Develop creative and unique concepts, ideas, and décor models to present for approval
- Create project plans, production timelines, and budgets
- Regularly meet with the director to update on all assigned student events
- Maintain photo archives, inventory, and organization of event supplies
- Lead event meetings with all necessary participants
- Communicate and uphold SCAD standards with clients

- Collect RFPs, quotes, and estimates from vendors
