Job Description

The AMA is currently seeking a Sr. Events Planner II to join its Corporate Services team at its Chicago, IL corporate office. This hybrid role requires the candidate to work three days per week onsite. The position involves managing and supervising AMA-sponsored meetings as well as providing comprehensive event planning and coordination support to AMA business units for ancillary meetings. As a Sr. Events Planner II, the incumbent will be responsible for end-to-end management of meetings and conferences, including short- and long-term planning, vendor negotiations, contracts execution, and budget oversight. The role serves as the onsite liaison for hotel partners and internal stakeholders and plays a key part in ensuring events operate smoothly and successfully.

Key responsibilities include coordinating exhibit booth requirements, managing event logistics for in-person, virtual, and hybrid meetings, developing comprehensive timelines, and overseeing safety and emergency protocols at meetings. The position also involves liaising with finance, legal, and other departments to ensure contractual and budgetary compliance. Expertise in event management software, particularly CVENT, is essential as the planner will create event pages, monitor registrations, process payments, and generate reports. The role demands strong interpersonal skills, exceptional organizational abilities, and the capacity to handle multiple complex projects simultaneously while maintaining a calm and professional demeanor under pressure.

The AMA values candidates with a background in nonprofit or healthcare sectors and expects some travel, evening, and weekend work as part of the responsibilities. The position is exempt and offers a salary range from $61,800 to $82,025, with pay determined by qualifications, experience, and geographic location. Job Duties

  • Coordinate and manage exhibit booth requirements
  • coordinate and manage internal and external meetings and events in-person, virtually and hybrid
  • develop timelines and help advise on resource availability for current and incoming projects to provide input on feasibility
  • responsible for coordinating logistics and other workshop/meeting-related requirements including overseeing and implementing safety, security and emergency protocols across all assigned meetings
  • select sites, negotiate rates, and execute contracts
  • serve as a liaison with internal stakeholders including finance and legal
  • build and maintain relationships with hotels and vendor suppliers
  • track the budget and guide the business unit on budget development, reconcile pre/post show reports and post-event billing, and ensure timely payments
  • assist with chargebacks and financial reporting related to event platforms
  • support sustainability initiatives in event planning and vendor selection
  • assess repeat meetings and recommend innovative meeting approaches
  • create event pages using CVENT
  • monitor and generate reports
  • provide online and onsite registration support including processing meeting registrations and payments
