The Special Events Coordinator position at AMFA plays an integral role in the success of the museum’s event programming. Reporting directly to the Associate Director of Special Events, the Special Events Coordinator is responsible for managing a diverse portfolio of events, including weddings, corporate gatherings, exhibition openings, donor receptions, and family activities. This full-time, hourly, and non-exempt role is centered around the meticulous coordination, logistical planning, and flawless execution of both AMFA-driven and facility rental events. The ideal candidate will bring a creative and visionary approach to event design, paired with exceptional organizational skills and a proven ability to manage complex event setups and vendor relationships.

The Special Events Coordinator will function as an essential partner in bringing AMFA’s signature events to life, ensuring every element—from detailed room layouts and décor plans to production schedules and load-in/load-out procedures—is executed with precision and style. Flexibility is crucial for this role, given that the coordinator must be available during nights and weekends, working collaboratively with internal departments and external vendors to deliver seamless and memorable cultural events.

Additionally, the Special Events Coordinator will provide vital administrative support, handling event-related correspondence, scheduling, and documentation, utilizing event management software and Microsoft Office tools. Job Requirements

  • 2-4 years of direct experience in event planning, production, or hospitality
  • Experience within a cultural institution, fine arts venue, or luxury brand preferred
  • Proven ability to manage complex event setups and vendor coordination
  • Strong organizational and documentation skills
  • Ability to work flexible hours including nights and weekends
  • Physical ability to stand, walk, climb stairs, lift up to 30 pounds, and perform manual tasks
  • Proficient in Microsoft Office and event management software
  • Excellent communication and problem-solving skills
  • Must maintain a professional appearance and demeanor

Job Duties

  • Coordinate and execute a wide range of AMFA-driven programming and facility rental events
  • Serve as on-site support during events, including nights and weekends
  • Create and manage detailed event documentation such as Event Orders, room layouts, décor plans, and production schedules
  • Assist and direct facilities team during event setup and breakdown to ensure flawless execution
  • Track event-related invoices, contracts, and administrative paperwork
  • Provide administrative support including scheduling, correspondence, and data entry
  • Collaborate with internal departments and external vendors to ensure high standards and smooth event operations
